Position summary
Responsible for the daily catering needs of the office. Place catering orders, set up and clean up of routine internal breakfast, luncheon meetings and special events. Maintain cleanliness, appearance and organization of conference rooms, cafes, galley areas and pantries. Serve as back-up to guest services specialist/receptionst.
Job duties and responsibilities
- Order, coordinate, set-up beverages and catering for internal meetings, receptions and special events.
- Maintain the cleanliness, appearance and organization of conference rooms, cafes, galley areas and pantries.
- Monitor, maintain and stock coffee and tea stations.
- Load and run dishwashers as needed.
- Maintain inventory of catering and hospitaliity supplies, including, china, silverware, glassware, paper products, food and beverage supplies. Communicate with business manager or other appropriate personnel regarding items needed in a timely fashion.
- Monitor stock of linens and communicicate with business manager or other appropriate personnel when soiled linens are ready for pick-up.
- Inform the business manager or other appropriate personnel of issues with equipment, furniture, or walls that may need attention.
- Work with firm administrative departments, executive assistants and attorneys with special requests, as needed.
- Communicate with building management regarding office housekeeping such as trash removal or general cleaning services.
- Process or forward catering invoices along with appropriate billing information for reconciliation to the Business Center or other appropriate personnel in a timely fashion.
- Service as back-up to the guest services specialist with answering phones, greeting visitors, reserving conference rooms and guest offices.
- Cross-train with other departments (office services, records) as assigned by supervisor.
- Miscellaneous general duties as directed by the busines manager or his/her designee.
- Strong communicator with ability to work closely with personnel at all levels. Self-starter and problem-solver who identifies and addresses needs and can juggle multiple priorities/tasks.
- Exercises good judgment in making decisions and adapting to changing work situations in a fast-paced environment. Grasps and applies new ideas.

Requirements
Education: High School diploma or equivalent.
Experience: 1-2 years experience in food service industry; general clerical experience
Skills: Basic computer, typing and clerical skills; ability to interact with internal personnel and external vendors. Previous receptionist experience preferred.

Supervisory responsibilities: None.
Equipment used: Personal computer and other office equipment such as telephone, typewriter, calculator, fax machine, duplicating machne, and so on.

Working conditions
Works in a typical office setting. Occasionally called upon to work overtime.
Pay ranges
This is a non-exempt position. The hourly wage range for this role is $17.19 to $19.23, with an estimated annual compensation range of $35,750 to $40,000, based on expected hours. This represents the presently anticipated pay range for this position. Actual pay may vary based on various factors, including but not limited to location and experience.
