Established in 1980, the Greater Lawrence Family Health Center, Inc. (GLFHC) is a multi-site, mission-driven, non-profit organization employing over 700 staff whose primary focus is providing the highest quality patient care to a culturally diverse population throughout the Merrimack Valley. Nationally recognized as a leader in community medicine (family practice, pediatrics, internal medicine, and geriatrics), GLFHC has clinical sites throughout the service area and is the sponsoring organization for the Lawrence Family Medicine Residency program.

GLFHC is seeking a customer-service oriented, bilingual (English/Spanish) Medical Records Clerk known as a HIM Clerk to join our dynamic and fast paced Health Information Management (HIM) Team. This position provides support for providers and other clinical staff by scanning all outside reports and internal hand-written reports into the electronic medical record (EMR) within 48 hours of receipt. Individuals are expected to become proficient in determining report types and assigning accurate Document Types when indexing all reports. Although each Health Information Management Clerk will be assigned a specific function, all Clerks will be responsible for knowing how to perform all the functions of the department. Scope of Duties:

  • Provide customer service for patients and staff who present to request information from HIM.
  • Verify all patient identifying information such as name, date of birth, and MR number on reports match patient information in the EMR to maintain accuracy of all information indexed in the EMR.
  • Verify all pages belong to one patient, one report, and are in correct order.
  • Verify forms have been filled out and signed by appropriate clinician or other appropriate individual prior to scanning/indexing.
  • Verify legibility (including light/darkness, top or bottom cutoff, fully sideways or upside down, slightly angled, etc.) of report in EMR before final saving of report.
  • Assign appropriate Document Types to all scanned reports.
  • Route documents to the appropriate clinicians electronic desktop for signature, as required. • Complete open referral orders in patients' EMR for all consult and radiology reports indexed.
  • Prepare and maintain scanning/indexing logs daily for supervisor. May also be required to prepare and maintain other logs per supervisor's instructions.
  • Answer phones and voice mails in a timely manner.
  • Cover at clinical site HIM offices as needed for staff absences.
  • Maintain complete confidentiality of all patients' medical information.

Requirements

  • GED/high school diploma
  • Understanding of Medical Terminology required
  • Bilingual (English/Spanish) skills written and oral required
  • Computer experience required
  • Excellent communication skills
  • Good public relations skills
  • Ability to work some evening and/or weekend hours
  • Ability to work in a stressful environment and retain composure
  • Ability to function with minimal supervision
  • Ability to apply independent judgment to issues with significant potential impact on the clinic.
