POSITION: High School Administrative Assistant (Part Time- 9 Month)

REPORTS TO: Building Principal/Director of Pupil Services in coordination with their designee (e.g. Athletic Director/Counselor) as specific assignment dictates.

GENERAL FUNCTION: Assist the Principal/Director of Pupil Services or their designee in all school office functions including, but not limited to, serve and support students, families, staff, and guests; prepare building and principal/program reports; schedule and post meetings; work cooperatively with other secretaries/administrative assistants; handling money; public relations; maintain student records and reports, and correspondence.

ESSENTIAL FUNCTIONS:

Greet all parents, students and guests in a friendly manner and assist, whenever possible, by handling questions personally or referring the to the appropriate person. Always communicate a positive image of students, staff, administration, and the school district.

Handle incoming phone calls appropriately, e.g. answer calls promptly, transfer calls, take messages, answer questions, etc.

Maintain strictly accurate student record data and submit required reports in accordance with District and State policies.

Maintain daily student attendance/absences, parent notes and contact records, issuance and maintenance of student admit slips, and assist with student truancy referrals/forms, as assigned and/or requested.

Assist student class scheduling needs and grade recording, as assigned and/or requested.

Maintain student cumulative files and transcripts, send to schools/agencies as requested in accordance with District and State policies/guidelines as assigned and/or requested.

Maintain and schedule student athletics/activities, activity fees, grade reports for eligibility, and support Athletic Director, as assigned and/or requested.

Schedule appointments and meetings for the building Principal/Director of Pupil Services, as assigned and/or requested.

Prepare and file building/program correspondence and reports.

Assist teachers whenever possible and in all other operations of the school office as requested.

In cooperation with the business office personnel, assist in the receipt of all district funds that come through the school office in accordance with District and State policies and guidelines.

Respond to emergency situations (e.g. injured students, fights, physical aggression, etc.) for the purpose of resolving immediate safety concerns and/or directing to appropriate personnel for resolution.

Pursue resources to stay current and effective as technology, position roles, and responsibilities vary over time.

Adhere to safety practices operating standard office equipment.

All other tasks or duties assigned by the Building Principal/Director of Pupil Services or their designee.

REQUIREMENTS/SKILLS:

Ability to routinely work up to 10 hour shift.

Critical thinking and problem solving skills with the ability to exercise independent judgment and make decisions within prescribed boundaries.

Time management, organizational, and prioritization skills with the ability to manage multiple tasks with frequent interruptions.

Strictly maintain the highest standard of confidentiality in all aspects with student, family, and staff data.

Strong verbal and written communication skills with the ability to communicate, interact, and work effectively and cooperatively with people from diverse backgrounds.

Work cooperatively with all school personnel, families, and students.

Maintain a cheerful and positive attitude when in contact with the public, guests, school personnel, and students.

Associate Degree in related field or high school diploma/equivalent plus related informal training/work experience.

Valid driver's license.

Know and follow District guidelines as set forth for the assigned position, employee handbook, and District policies.

The employee shall remain free of any alcohol or illegal substance in the workplace in compliance with Policy 3122.01 throughout his/her employment in the District.
