The Noorda-COM Health Clinic at Noorda College of Osteopathic Medicine is seeking to hire a Front Office Coordinator. This is a multi-purpose role responsible for managing daily front office operations and supporting the Director of Clinical Operations. This position serves as the first point of contact for patients and visitors while ensuring efficient administrative, scheduling, and records processes that support a positive, compliant, and well-organized clinic environment.

KEY RESPONSIBILITIES
Front Office & Patient Experience:
  • Serve as the professional and welcoming “face of the clinic”
  • Greet patients, guests, and vendors; manage a multi-line phone system
  • Schedule and coordinate patient appointments per clinic protocols
  • Prepare patient charts and forms; complete check-in, payment collection, and check-out
  • Maintain a clean, secure, and organized front office and reception area
  • Monitor provider schedules and manage waitlists to optimize clinic flow
  • Communicate patient needs, schedule changes, and special circumstances to staff
  • Ensure HIPAA compliance and patient confidentiality at all times
Data Entry & Records Management:
  • Collect, verify, and update patient demographics, insurance, and medical histories
  • Upload insurance cards, photo IDs, and signed forms into the EHR system
  • Process incoming faxes, medical records, and release requests accurately and confidentially
  • Act as the clinic’s HIPAA compliance support point for privacy processes
Administrative Support:
  • Provide administrative assistance to the Director of Clinical Operations
  • Manage emails, inquiries, mail, shipments, and departmental calendars
  • Support internal and external communication across clinic and organizational partners
Qualifications:
  • High School Diploma required; Associate degree preferred
  • 1+ year experience in a healthcare setting; 2+ years administrative experience
  • Proficiency in Microsoft Office and ability to learn EHR and practice management systems
  • Strong communication, organization, professionalism, and multitasking skills
  • Self-motivated, adaptable, detail-oriented, and capable of handling confidential information
Schedule & Work Environment:
  • Full-time, Monday-Friday schedule.
  • On-site, in office.
