Head Coach

  • Serve as liaison between the coaching staff and AD.
  • Has a thorough knowledge of the rules and regulations of the NCHSAA, DCS, and Conference as they pertain to his/her sport, including verifying the eligibility of all staff members and student-athletes. Will provide a final roster to the AD. This includes following all DCS School Board Policies.
  • Understands the proper administrative chain of command and refers all requests or grievances through the proper channels. Is aware of all public/staff/departmental meetings that require attendance.
  • Establishes the fundamental philosophy, skills, and techniques to be taught by the staff.
  • Delegates specific duties, supervises the implementation, and evaluates all assistants at the end of the season.
  • Maintains discipline, mediates grievances, and works to increase morale.
  • Assists the AD in scheduling and submittingtransportation requests through Travel Tracker.
  • Assists in the necessary preparation for scheduled home contests or practices and adheres to facility usage times.
  • Communicates facility needs/repairs to the AD.
  • Provides proper safeguards, including inspection, of all equipment.
  • Monitors the grades and conduct of his/her student-athletes.
  • Provides supervision, guidance, and safeguards for each student-athlete by his/her presence at all practices, and contests, while traveling, and when returning from off-campus events.
  • Directs student managers, assistants, and statisticians.
  • Determines discipline and procedures of due process when the enforcement of discipline is necessary and contacts parents when a student-athlete is suspended, dropped, or becomes ineligible.
  • Participates in the budgeting process with the AD by submitting needs for the next season.
  • Is accountable for all equipment in his/her program and submits notification to the AD for any equipment lost, damaged, or not returned.
  • Arranges for issuing, collecting, securing, reconditioning, and inventory of all equipment.
  • Secures all doors, lights, windows, and locks and stores all equipment before leaving campus. Supervises locker room area before and after practice.
  • Instills in each player respect for equipment and school property in its care and proper use.
  • Responsible for maintaining good public relationswith news media, parents, officials, volunteers, and fans.
  • Responsible for reporting scores to required outlets set forth by the NCHSAA. This duty may be delegated by the head coach.
  • Guarantees that all district equipment including buses is used for official school business only and is operated safely.
  • Performs other duties which may be assigned by the AD or Principal.
Responsibilities charged to the Head Coach by the Athletic Director

I.ADMINISTRATIVE FORMS

Present the following information to the Athletic Director on time.
  1. One sports season before first practice:
Practice information (date, time, place, length, etc.) for the first two weeks and any school vacation or holidays.
  1. Before first practice:
  • Preseason inventory form
  • Facilities/Equipment Checklist

DO NOT ALLOW ANYONE TO PRACTICE OR ATTEND SKILL DEVELOPMENT SESSIONS WITHOUT BEING APPROVED
  1. FIVE days before the first game:
  • Completed Player information forms including managers, trainers, scorekeepers, statisticians, etc.
  • Check: final eligibility (see DCS Eligibility), schedule and transportation requests
  • Pre-season checklist to the AD
  1. Prior to first game or participation:
  • Check the returned eligibility form to your roster and notify the Athletic Director of omissions or changes. Sign and return to AD.
  • Roster distributed to faculty


II.NCAA

The coaching staff should work to qualify as many student-athletes as possible. Information about recentered SAT scores and clearinghouse registration is available upon request. Your efforts to assist these athletes with their educational pursuits are encouraged, expected, and greatly appreciated.
III.FACILITY/FIELD MAINTENANCE

Maintenance and care of athletic facilities is a never-ending task. Coaches must be willing to accept and assist in this task. It is your responsibility to see that your game and practice areas are safe, properly maintained, painted, and ready for play (BEFORE / AFTER PRACTICES AND GAMES). The Athletic Director will assist you in any way possible.

IV.CLASS TIME

The Athletic Director and Principal (Designee) shall approve the time athletes may be excused from class for NCHSAA Playoffs. Class time is valuable instructional time and every effort should be made to ensure that the loss of class time is minimal. All coaches shall submit a list of squad members, managers, etc. to be excused, at least one day in advance. Please remind athletes that they are responsible for any work they miss during their absence.

VI.TRANSPORTATION

All student-athletes, managers, trainers, scorekeepers, statisticians, and other personnel are required to travel with the team on a certified school bus to and from athletic events. The coach should supervise the trip, and make sure that all passengers are listed on the eligibility sheet. Teams will travel together whenever possible to lower expenses (i.e. baseball and softball, volleyball and tennis, etc.). Long-distance travel will be reduced and/or eliminated if possible. Activity buses cannot be used for personal travel.

The team/coach using a school vehicle is responsible for the following:
  1. Any damage is done to the vehicle
  2. Bus Accident Procedure:
  3. Contact: DCS Transportation and Administration
  4. Police: If more than $500.00 damage, personal injury, or issued a citation you may have to take a drug test within 24 hours. Driving privileges are suspended until results are received.
  5. Fill out an accident report (Trans. Office)
  6. Bus breakdown (posted on the bus)
  7. Cleaning: Inside the bus after the trip. The fee charged for cleaning a dirty bus is $60.00.
  8. Park the vehicle in its proper place.
  9. Close all windows on the vehicle.
  10. Secure keys, mileage report, and checklist.
VII.ATHLETIC TRAINER

The Athletic Trainer should be notified if an athlete is injured during practice or competition.
  1. Notify the Parent(s) in the event of an injury that evening.
  2. Refer an athlete to the Athletic Trainer if there is an injury or ailment
  3. If the Athletic Trainer is not present, coaches are expected to be able to administer approved, prioritized, standard first aid procedures in response to a range of traumatic injuries.
  4. Athletic trainers will complete injury and accident reports and submit them to AD for signature.
VIII.POST-GAME DUTIES:
  1. Supervise all athletes until transportation arrives.
  2. Check restroom and locker rooms to see if toilets are flushed, equipment is picked up, floor swept, doors locked, etc.
  3. Turn off lights and/or breakers.
  4. Activate the security system. (Main Building)
IX. OFFICIALS

The Athletic Director will contact and arrange for officials for all home contests.

Any complaints or problems with officials should be directed to the Athletic Director. DO NOT UNDER ANY CIRCUMSTANCE MAKE A COMMENT TO THE MEDIA ABOUT OFFICIATING! After reviewing the game film a written grievance shall be sent to the booking agent and/or NCHSAA if deemed appropriate.

X.FUNDRAISING AND PROMOTIONS (School Board Policy 6.45)

All fundraising activities must be approved by the athletic director and follow board policy. This includes fundraisers through the athletic booster clubs.

Expectations

Responsibilities charged to athletes, coaches and athletic director's by the Davidson County School System Athletic Director:

I.SCHEDULING

The coach and the Athletic Director will schedule all athletic events jointly.
  1. The coach should submit in writing the teams and dates they would like to schedule or contact the head coach for each season by:
  • Fall season by February 1st.
  • Winter season by May 1st.
  • Spring season by September 1st.
  1. The Athletic Director will then contact these schools and/or make out a schedule.
II.BUDGET
  1. The coach will present written budget requests to the Athletic Director.
  2. The Athletic Director will meet with the coach to discuss requests.
III.PURCHASING EQUIPMENT

The Athletic Director must approve the purchase of all athletic equipment. The school will not be responsible for any items purchased without prior approval. Split purchase orders require prior approval from the Athletic Director and County Athletic Director.
  • School Athletic Director will complete a purchase order request with a quote from the vendor
  • Treasurer will complete a requisition in LINQ, including attaching the quote
  • Treasure will save and send to Principal for approval
  • Once approved by Principal, the Treasurer will email Jennifer to let her know it's ready for County AD
  • Drew Hackett approves the requisition and quote, the PO is created
  • PO is printed by finance and sent to Jennifer Rotan
  • Jennifer will send treasurer the gold, green and white copies
  • Treasurer will place the order
  • Treasurer will send the following back to Jennifer when all items and invoice is received
  • Goldenrod copy
  • Invoice (once received)
  • Package Slip with signature confirming delivery of goods
  • If goods are hand delivered, AD must document receiving and give documentation to treasurer
IV.EQUIPMENT ACCOUNTABILITY

Each coach shall be held accountable for the equipment and uniforms issued to his/her players. You must be able to identify each item assigned and that player shall be held accountable for it. The athlete will be charged for any item, which is not returned at the end of that season. Uniforms, warm-ups, and other school-issued equipment should be worn during practices and games only.

V.GAME POSTPONEMENT/RESCHEDULING

The Athletic Director shall handle all games postponed because of inclement weather or things beyond our control. Postponed conference games must be played on the next available playing date, in the order that they were postponed and at the discretion of the home team. Both teams must agree to play on Saturday. Once the opponents have been contacted and the contest has been rescheduled, the following shall be notified immediately:
  • School Administration and District Athletic Director
  • Booking Agent
  • Officials
  • Announcement to athletes and student body, Media, Police, Ticket Manager, Concessions Manager, Announcer, and Athletic Training Staff
VI.STAFF DEVELOPMENT

Coaches expecting financial help with expenses for staff and/or professional development must first have prior approval from the Athletic Director and the Principal. Clinics are a legitimate expense and you are encouraged to attend as many as possible to ensure your professional growth. This will be at the total discretion of individual schools.

VII.ELIGIBILITY REQUIREMENTS

Off-Season Participation

Students must be medically cleared and have all medical/health forms completed and on file at the school prior to participation in any off season, conditioning or skill development sessions with athletic programs.

In-Season Participation

The medical/health forms must be completed and on file at the school and the student must meet NCHSAA/DCS scholastic requirements.

Scholastic Requirements

A student must be in good academic standing to be eligible to participate in interscholastic athletics.

(a) A student is in good academic standing if:

(1) The student passed at least seventy (70) percent of the courses taken in the preceding semester; and

(2) According to the membership entity's standards, the student is on track to advance to the next grade level or graduate within the next calendar year.

A student not academically eligible at the beginning of the semester is not eligible at any time during the semester.

Exception - a student who receives an incomplete which causes him or her to fail to meet minimum scholastic requirements or is awaiting a final grade due to any state-mandated testing is ineligible until the course is satisfactorily completed, and eligibility is restored immediately.

Middle Schools Additionally

  1. Students must have passed language arts AND math the previous semester.
  2. Students must have passed social students OR science the previous semester.
  3. Students must be making sufficient progress toward promotion to the next grade level (not an administrative promotion).
  4. Students must have no more than 8 absences the previous semester.
IX.TRANSPORTATION

The athletic department will provide transportation to and from athletic events. All student-athletes must travel with the team to athletic events held away from the home school. A transportation waiver must be signed and approved by the head coach if a parent/legal guardian wants to transport a student-athlete home from an away game. This form may be obtained from the coach or the Athletic Director. Student-athletes will be allowed to travel home with a parent/legal guardian with prior written permission.

Since we practice and play at an off-campus venue, (golf, cross country, and swimming), student-athletes can provide their own transportation to and from practices and home contests. Because the safety of student-athletes is a primary consideration in the administration of this activity, students must have written parental permission for their participation in each specific sport. Under no circumstances will athletes be allowed to travel with other parents or students to or from contests.

X.Licensed Athletic Trainers/First Responders

Novant Health has provided high schools with a certified licensed Athletic Trainer to provide the best possible care for our athletes. Athletes are offered a wide variety of services (prevention and treatment) to help meet the demands of athletic competition.

The following are guidelines to follow when using the athletic training room:
  • Do not enter without an athletic trainer, coach, or athletic training student aid
  • Only athletes being treated are allowed in the athletic training room
  • Do not attempt to treat yourself
  • Wear appropriate clothing to and from the athletic training room
  • Do not use or remove any supplies without permission
First responders are required for all football games and practices. DCS provides a supplement for high schools and middle schools for each sports season. First Responder requirements can be located on the NCHSAA website. The courses are available under the Coach Certification Program through NFHS. First Responder Compliance Reporting is located in DragonFly.

XI.Hot Weather

According to the Davidson County School System, all sports will follow the DCS and NCHSAA heat restriction policy, realizing that no practices may occur before the end of the regular teacher workday.

XII.Inclement Weather

On the first day schools are closed due to inclement weather conditions, all school activities shall be suspended. This rule applies to all games, practices, rehearsals, etc.

On subsequent days when schools are closed due to inclement weather, the superintendent designee will decide when school activities (team practices, rehearsals, etc.) may be resumed within DCS. All performances and games that are to be played when schools are closed will require the permission of the superintendent or his designee.

Under NOCIRCUMSTANCES should students be penalized for failure to attend activities when schools are closed even when special permission to proceed has been granted.

XIII.Dressing/Locker Rooms

Coaches will supervise their dressing facilities.

XIV.Attendance

It is the responsibility of all athletes to attend school regularly. They should set an example for all other students. Athletes cannot participate (dress out) in practice or a game unless they are in attendance (1/2 day) at school.
  • All athletes will attend school daily.
  • Athletes should be present in ALL classes during the school day unless excused by parents, faculty, or administration.
  • If he/she attends school he/she will be expected to practice unless excused by the coach.
XV.Dress

Athletes are encouraged to dress appropriately whenever they represent DCS Athletics.
  • Must dress appropriately during the school day, at practice, and for all games.
  • GAMEDAY ATTIRE: As an athlete, you represent the community and schools of DCS. Your appearance reflects on all of us and as such certain standards of dress will be required of you. We expect you to be dressed appropriately at all contests.
XVI.Obligations

All athletes are required to replace lost uniforms or damaged equipment either by payment or restitution of the lost article. Athletes are responsible for clearing all obligations with their coaches before participating or practicing in another sport (good standing).

XVII.College Admission

The coaching staff will work to qualify as many student-athletes as possible. Information about recentered SAT scores and clearinghouse registration is available upon request. If a college recruiter contacts an athlete he/she should notify his/her coach, guidance counselor, and the athletic department. All DCS schools will abide by the rules of the NCAA.

XVIII.Team Selection and Transfers

DCS student-athletes are encouraged to participate in as many sports as he/she can. Student-athletes may participate in more than one sport during a season with the approval of the coaches and the athletic director. Once an athlete begins the in-season training period of a sport, he/she should not quit while that sport is in season. If an athlete quits a sport they will be withheld from participation until that season is over (includes playoffs). Athletes may be allowed to transfer from one sport to another during a season with the mutual consent of both coaches and the athletic director.

Each coach has his/her policy on how he/she selects the team. Coaches will explain their policy to candidates before the season/practice begins. Skill Development sessions and open facilities (open to all, required for none) are allowed, but shall not be held during any tryout period of an in-season sport, during midterm exams, and the last 5 days of 1st semester and last 10 days of 2nd semester). All skill development sessions must be voluntary and open to all athletically eligible students.

XIX.Special Practice/Contest Times

There shall be no athletic practice/workouts during the school day or on Sunday. Practices may begin after 3:05 PM during the regular school day and on workdays(including teams coached by non-faculty coaches). The duration of practice (court or field) should not exceed 3 hours including stretch lines and water breaks.

During all teacher workdays, no practice or contents are to be scheduled between traditional working hours for all sports, these must conclude by 8am and can not begin prior to 3pm.

During exam periods, no contests should be scheduled the day before an exam and all practices must conclude and have students off campus/practice site by 6pm.

XX.Substance Abuse (School Board Policy 6.11.6)

The NCHSAA and Davidson County Schools emphatically oppose the use of tobacco (including e-cigarettes/vapor cigarettes), alcohol and other drugs by student-athletes, coaches (including volunteer coaches) and officials.

School Board Policy 6.11.6.G

Participation in athletics and extra-curricular activities is a privilege, not a right. Students

who participate in athletics and/or extra-curricular activities choose to do so, and as a result,those students are expected to make many proper choices as they represent themselves, their families, their school, and their community at all times, not just on the field of competition. A student's eligibility to participate in athletics and extra-curricular activities is dependent upon compliance with all applicable Board policies, rules and regulations. Students, by virtue of their voluntary decision to participate in athletics and extracurricular activities, have a higher responsibility to refrain from drug and alcohol use. Any student who violates this policy on Narcotics, Alcoholic Beverages and Stimulant Drugs (Including Drug Paraphernalia) and Other Prohibited Substances and is subsequently suspended as prescribed by the Davidson County Board of Education will forfeit all rights to participate in the athletic program or extra-curricular activities program as set forth herein.

XXI.Expenses

Should student-athletes or guardian(s) choose to make purchases related to athletic participation e.g. (camps, trips, clothing, and equipment for personal use or any other purpose related to participation) the expenses will be the sole responsibility of that athlete and his/her guardian(s). DCS and/or the Coaching Staff will in no way to any degree cover or reimburse voluntary expenses at any time. Teams will have fundraising opportunities to cover expected expenses such as spirit wear, camps, and other items not available in the athletic budget Coaches will not require any student-athlete to pay fees. Camps will be treated the same as field trips.

XXII. Sportsmanship

The following policy statement from the North Carolina High School Athletic Association (NCHSAA) expresses the concept of sportsmanship as follows: Ethics, integrity, and respect are important values in our daily lives. In the playing arena, they are translated into the word sportsmanship. Good sportsmanship is a vital part of high school athletics and must be reflected in a commitment to emphasize those positive lifetime values taught by interscholastic athletics.

Students and spectators should....
  • Realize you represent the school as a member of a team; therefore, you must be a true sportsman, encouraging through behavior the practice of good sportsmanship
  • Recognize that good sportsmanship is more important than victory by approving and applauding good team play, individual skill, and outstanding examples of sportsmanship and fair play exhibited by either team
  • Remember that the primary purpose of interscholastic athletics is to promote the physical, mental, moral, social, and emotional well-being of the players, through the medium of the contest
  • Be modest in victory and gracious in defeat
  • Respect the judgment and integrity of officials
  • Fulfill the pledge you sign before each sports season
Athletes are expected to.....
  • Exemplify high morals, good character, and fellowship
  • Respect the integrity of others
  • Abide by the rules of the game in spirit and intent
  • Demonstrate a continuing interest in personal improvement
  • Display good sportsmanship
  • Respect the rights and possessions of teammates, coaches, administrators, and officials.
XXIII.NCHSAA Ejection Policy and Penalty

Sportsmanship/Ejection Policy - This policy applies to all persons involved in an athletic contest, including student-athletes, coaches, managers and game administrators. The NCHSAA may review video, when available, to invoke ejections or sanctions not reported by game officials. Video clips must be presented to the NCHSAA office for committee review within two (2) business days of the contest. The following examples include behavior or conduct which will result in an ejection from a contest:

(a) Fighting, which includes, but is not limited to, combative acts such as:

(1) An altercation between 2 or more parties that includes swinging, hitting, punching and/or kicking;

(2) An attempt to strike an opponent with a fist, hands, arms, legs, feet, or equipment;

(3) An attempt to punch or kick an opponent, regardless of whether or not contact is made;

(4) An attempt to instigate a fight by committing an unsportsmanlike act toward an opponent that causes an opponent to retaliate;

(b) Leaving the bench area __ coming on to the playing area illegally;

(c) Flagrant contact, which includes, but is not limited to, combative acts such as:

(1) Maliciously running over the catcher/fielder without attempt to avoid contact

(2) Excessive contact out-of-bounds or away from playing action that is unwarranted and extreme in nature

(3) Tackling/taking down a player dangerously in a malicious manner

(4) Illegally hitting or cross-checking an opponent in an excessive manner with the stick in lacrosse;

(d) Biting observed or determined by an official;

(e) Taunting, baiting or spitting toward an opponent or official;

(f) Profanity, inappropriate language, racial/ethnic slurs, sexist, or homophobic language;

(g) Obscene gestures, including gesturing in such a manner as to intimidate or instigate;

(h) Disrespectfully addressing an official (physically contacting an official is subject to automatic expulsion and can result in ineligibility for remainder of career); or,

(i) Use of tobacco products, alcoholic beverages, or other controlled substances.

Penalties for an Ejection

(a) Ejections during scrimmages

(1) Coach or student-athlete is suspended from the remainder of the scrimmage - this is inclusive of multiple scrimmage events on the same day (jamboree).

(2) Student-athlete must complete the NFHS "Sportsmanship" course before being eligible to compete in next scrimmage or contest.

(3) Coach must complete the NFHS "Teaching and Modeling Behavior" course for any student-athlete or coach ejection during the scrimmage.

(b) Ejection Penalty - A membership entity shall impose at least the following penalties on a student, coach, or school official who is ejected from an interscholastic athletic contest:

(1) For the first offense, the person shall be reprimanded and suspended from participating in the next game at that level of play (varsity or junior varsity);

(2) For a second offense, the person shall be placed on probation and suspended for the next two games at that level of play (varsity or junior varsity);

(3) For a third offense, the person shall be suspended for one calendar year; and

(4) A coach who is suspended shall not coach any team for any grade level during the period of suspension.

(5) Penalties are cumulative from sport to sport and from sport season to sport season. If a member of the school's coaching staff is not present to assume an ejected coach's duties, the contest shall be terminated by a forfeit.

(c) Penalties are not cumulative academic year to academic year.

(d) Ejected student-athletes may practice during their suspensions but may not play.

(e) Ejected coaches may not be on the premises for a contest. The coach must leave the premises (press box, bleachers, adjacent field, etc.) and must not have any type of contact with the team.

(f) Student-athletes who are disqualified or ejected during a contest will remain in the team area for supervision.

(g) Anytime a student-athlete or coach is ejected from a contest, he or she does not participate or coach the remainder of that day.

(h) The coach is not permitted to be at the game site during his or her suspension, but the student-athlete is allowed at the game site.

(i) Any student-athlete or administrator who is ejected from a contest is required to complete the NFHS "Sportsmanship" course before being eligible to return to competition. Any coach who is ejected from a contest must take the NFHS "Teaching and Modeling Behavior" course before being eligible to return to competition.

(j) If a team has student-athletes ejected due to fighting, the head coach must take the NFHS Learning Course "Teaching and Modeling Behavior". It must be completed before coaching in the next game.
  1. k) Clarification For Soccer Only

(1) Coaches and athletic directors will be responsible for tracking yellow cards accumulated by their student-athletes.

(2) Accumulated yellow cards by an individual student-athlete will result in the following:

(a) Five (5) yellow cards: post-game ejection.

(b) An additional five (5) yellow cards - second post-game ejection. (c) An additional five (5) yellow cards - third post-game ejection.

(3) A red card disqualification that is not an ejection is the equivalent of two yellow cards.

(4) Penalties are enforced at the conclusion of the game, and an ejection report must also be filed at the appropriate time for accumulation of yellow cards.

(5) Yellow cards are reset to zero once playoffs begin (all previous penalties must be served).

(6) If a student-athlete accumulates three (3) yellow cards in playoffs, that student-athlete is suspended for next game. If also during the playoff
