Position Overview
The Shipping Office Supervisor is a key coaching role responsible for directing all daily activities of the Shipping Office team, ensuring on-time pickups and compliance with all customer routing guides and vendor compliance protocols. This role focuses on developing a high-performance logistics team through comprehensive training, system mastery, and cross-functional coordination.
Essential Job Functions:
Team Development and Coaching: Responsible for building a high-performance logistics team by developing standardized training manuals for routing procedures and conducting regular performance audits to ensure the office operates at peak efficiency.
Routing Guide Mastery: Train the shipping clerical team on how to interpret complex customer routing guides to prevent costly "chargebacks" or shipping violations.
TMS Certification: Cross-train team members on the Transportation Management System (TMS) to ensure there is no single point of failure for creating Bill of Ladings (BOLs) or scheduling pickups.
Carrier Communication Protocols: Standardize how the team communicates with drivers and dispatchers-emphasizing professional etiquette and clear instructions for dock doors and paperwork.
Exception Management Training: Teach the team how to proactively identify and escalate potential delays (e.g., a carrier is 30 minutes late for a "must-go" load) before they become missed shipments.
Collaborative Leadership & Coordination:
Cross-Functional Syncs: Lead daily either by meeting with or communicating through reporting and wms tools between the shipping office and the warehouse floor to align the picking progress with the scheduled carrier arrival times.
Load Readiness Audits: Work with the warehouse leads to verify that staged loads match the paperwork exactly, reducing driver wait times and improving carrier relationships.
Performance Feedback Loops: Conduct weekly reviews of the "On-Time Pickup" log with the team to identify if delays are caused by office paperwork errors, warehouse delays, or carrier tardiness.
Ensure that shipping, receiving, storage, order management and/or distribution activities related to office functions are performed in an efficient manner and align with appointment scheduling
Review and use the system tools to monitor the productivity of all associates.
Requires maintenance of records and schedules.
Reviews document actions by ensuring forms, reports, logs and records are completed and accurate.
Maintains databases.
Relies on experience and judgment to plan and accomplish goals.
Manage and control the area to ensure a safe and clean environment.
Leads and directs the work of others.
Other duties as assigned.
Requirements:
Education: Associates Level Degree preferred
Experience: 4+ years experience in managing a distribution center and service operation.
Specialized Knowledge, Licenses, etc.: Experience with WMS a plus. Computer proficiency (MS Office). Ability to work independently in a fast-paced environment.
Working Conditions: Distribution Center. Ability to stand, walk, sit, reach, kneel and stoop. Must occasionally lift and/or move up to 50 lbs.
Other Skills/Abilities: Familiar with a variety of the fields concepts, practices, and procedures. A wide degree of creativity and latitude is required. Excellent communication and interpersonal skills.
