The Group Tour Coordinator oversees and is responsible for coordinating group tour logistics, including overseeing all tour inquiries and reservations with a visitor-oriented mindset, invoicing and/or collecting donation payment, arranging docents for docent-led tours, meeting and checking in adult tour groups, and collecting, maintaining, and reporting adult tour visitation numbers. In addition, the Group Tour Coordinator will research and initiate contact with prospective groups for future tours.

 

Requirements 

  • High school diploma and two years related experience and/or training or equivalent combination of education and experience is required. Associate or bachelor’s degree preferred.
  • Possess excellent skills in organization, verbal and interpersonal communication, and customer service. Ability to communicate tactfully with visitors, colleagues, docents, volunteers, and community partners. Must be detail oriented. Computer and ticket selling experience a plus but not necessary.

Responsibilities 

  • Respond to group tour inquires and process requests and reservations by phone, in-person, and/or email. Communicate museum policies and procedures to group leader.
  • Research and identify prospective groups for museum visitation and collaborate with appropriate museum partners to develop and strengthen relationships that support group attendance, engagement, and visitation goals.
  • Update internal tour spreadsheet
  • Provide group tour information and updates to Visitor Services management team, Visitor Services associates, Docent Program manager, and docents as needed.
  • Meet and check in adult tour groups as needed. Assist with tour ticket scanning and assisted listening device distribution.
  • Route non-adult group tour requests to appropriate museum departments.
  • Attend docent advisory board meetings and docent trainings as needed.
  • Collect and process group tour donations including add on features for tours.
  • Collect, maintain, and report adult tour visitation numbers, updating internal database as needed.
  • Assist Visitor Services as needed by providing support on the floor and at events as assigned.

 

Hourly rate: $20.00 and will be scheduled up to 28 hours per week
