Group Rooms & Catering Coordinator

Wage: $34.50/hr. Overtime eligible.

THE ROLE

The Rooms & Catering Coordinator supports the Sales, Conference Services, and Operations teams by managing group reservations, room blocks, and event-related accommodations. This role serves as the primary point of contact for group organizers and internal departments, ensuring accurate reservation management, seamless communication, and exceptional guest experiences from booking through departure. The Rooms & Catering Coordinator must be available to work Saturdays and also be able to work Sundays as business needs require. 

WHAT YOU'LL DO:

• Manage group room blocks, reservations, rooming lists, and reservation changes, serve as primary contact for group clients regarding guest needs
• Closely crosscheck updated rooming lists and make appropriate changes in HMS and DELPHI to match client provided updates. 
• Prepare and distribute group resumes, banquet event orders (BEOs), event packets, and operational reports. 
• Communicate group details and events to Front Office, Housekeeping, Sales, and other hotel departments. 
• Support conference, event, and group operations to ensure smooth arrivals, stays, and departures. 
• Process deposits, commission reports, billing instructions, and group booking links. 
• Assist with administrative and clerical functions, including scheduling, document preparation, filing, and office support. 

WHAT WE LOOK FOR:

• High school graduate.
• Minimum 1-2  years of experience in front desk or reservations.
• Must have at least 2 years computer experience in Microsoft office skills.
• Must be able to engage with clients. 
• Experience with hotel PMS (HMS), Delphi preferred. 
• Individuals with passion for customer service and able to work with others seamlessly. This means having no problem collaborating within a diverse team.
• Dynamic and working calmly under pressure.
• Ability to be carrying/lifting up to 25 pounds, occasional kneeling, pushing, pulling, lifting, ascending or descending ladders, stairs and ramps
