Department Facilities Job Purpose
The Grounds Supervisor provides direct oversight and management of the Grounds staff. The Grounds Supervisor is responsible for ensuring the staff are trained, assigned and supported as they care for the University's campus. This is an essential position. The Grounds Supervisor is expected to be available to respond to emergencies, including supervising clean-up following severe weather incidents and snow removal during winter storms, and to support the success of critical University events (e.g., Commencement, Orientation, Move-In), which often are scheduled on weekends.
Essential Duties
- Plans, coordinates, and assigns work schedules and other duties to employees
- Supervises and evaluates Grounds employees' performance of assigned duties and responsibilities through regular and random reviews of work assignments and techniques, and review and approval of staff time and attendance records
- In consultation with the Assistant Director of Facilities Operations, identify and address job-related performance or conduct concerns through coaching, counseling, or other means, and maintain appropriate records of all steps taken
- Regularly and frequently inspects grounds for cleanliness, completed work, needed repairs, and safety compliance, and ensures that grounds employees also observe and report defects or deterioration in a timely manner using the work order system
- Actively encourages a safe work environment by enforcing all safety rules and programs and identifying and reporting any safety concerns
- Ensures that applicable work orders are properly completed and updated in the system and prepares reports of work activities, including inspection logs and personnel records, as requested
- Maintains accurate and current inventory of all equipment through regular equipment inspections, storage and equipment cataloging, sign in/out logs, and periodic equipment review
- Maintains accurate and current systems to track the use and availability of supplies, including fuel storage, requesting supplies and materials when necessary
- Conducts onboarding training for new employees and ongoing training for all staff on the safe, proper and standardized use of current and new equipment, supplies and techniques
- Communicates daily with key administrative and staff personnel on special events and functions that may require special arrangements and other duties that may be required
- Maintains a flexible schedule to be able to observe work completed by groundskeepers during routinely scheduled shifts, as well as during any periods of required overtime or shift adjustments
- Supervises cleanup required during and following severe weather incidents, including snow removal from winter storms.
- Supports essential University events and activities that often take place on weekends, including Commencement, Orientation, Move-in, Open Houses and other events
Additional Skills Required
- Commitment to customer service when working with students, parents, faculty, staff, and guests on campus
- Ability to plan, organize, control, and direct all aspects of Grounds responsibilities for university facilities
- Demonstrated ability to plan and prioritize tasks in a self-directed work environment and maintain high levels of productivity
- Must be accessible and available in the event of emergencies and weather events or when needed to meet the ongoing missions of the University
- Ability to work within the overall organization of Facilities Operations and work with skilled and unskilled personnel and administrators
- Ability to develop work schedules, making the most efficient use of personnel and equipment
- Ability to train and supervise a large group of employees
- Must possess good oral and written communication skills and be able to follow oral and written instructions. Ability to express ideas effectively and concisely is essential
- Must possess the ability to present information and facts to a group of employees in a confident and competent manner, while presenting the Facilities Operations leadership points in his/her own voice
- Must possess computer application skills in word processing and spreadsheets and can learn and use the work order management system, navigate the Internet, and to communicate via e-mail.
- Must be willing to seek training to enhance or learn new skills
- Must be able to walk assigned areas and other areas of the campus for an extended period
- Ability to meet deadlines and make sound decisions sometimes under stress is required
- The ability to uphold human dignity and respect by recognizing each person's worth, valuing diverse perspectives, and treating others with kindness, fairness, and empathy
- Must be able to respect, support and contribute to the University's Catholic and Jesuit mission
Minimum Education Requirements
- High school diploma or equivalent
Preferred Education Minimum Job Experience Requirements
Three (3) consecutive years of supervisory experience. An equivalent combination of supervisory experience and education may also be considered (i.e. substituting higher education credits on a year-for-year basis, with 30 credit hours considered one year of college).
