Job Title: Grants Administrator

Location: Mayville State University, Mayville, ND

Compensation: Hiring Range - $64,872 - $77,846 - dependent on experience

Position Details: 12-month; full-time

Position Description:

Mayville State University is seeking a Grants Administrator to coordinate the full lifecycle of sponsored programs. This position supports faculty and staff in identifying funding opportunities, developing proposals, preparing budgets, administering awards, monitoring compliance and expenditures, preparing reports, and maintaining grant records.

The Grants Administrator works closely with project directors, Finance, Human Resources, and external sponsors to ensure grants are administered accurately, efficiently, and in accordance with sponsor and university requirements.

Duties and Responsibilities:

  • Research federal, state, and private funding opportunities aligned with Mayville State University priorities
  • Assist faculty and staff with proposal development, including timelines, required documents, budgets, budget justifications, and submission procedures
  • Review proposals for compliance with sponsor guidelines and university policies
  • Coordinate the routing, approval, and submission of grant applications
  • Maintain a calendar of grant deadlines, proposal activity, award requirements, deliverables, and reporting dates
  • Work with Finance to establish grant accounts and budgets and communicate award requirements to project directors
  • Monitor grant expenditures for allowability, accuracy, and compliance with sponsor and university requirements
  • Assist with effort reporting, cost-share documentation, financial and programmatic reports, audit preparation, and grant closeout
  • Interpret federal and state regulations, sponsor requirements, and university policies
  • Review grant files for completeness, compliance, and risk
  • Maintain organized electronic and physical grant records and support effective internal controls
  • Provide training and guidance to faculty and staff regarding grant procedures, sponsor requirements, and compliance expectations
  • Serve as a liaison among project directors, Finance, Human Resources, and external sponsors
  • Participate in professional development related to grants and sponsored programs
  • Assist with campus communication regarding grant opportunities and successes

Minimum Qualifications:

  • Bachelor's degree in business, accounting, communications, public administration, education, or a related field
  • Strong written and verbal communication skills
  • High level of attention to detail, accuracy, and organization
  • Ability to interpret policies, regulations, sponsor guidelines, and award requirements
  • Ability to manage multiple projects and deadlines
  • Proficiency with Microsoft Office Suite

Preferred Qualifications:

  • Experience in grant administration or sponsored programs

  • Experience with federal grant systems

  • Knowledge of fund accounting or higher education financial systems

  • Experience with budget development and financial reporting

  • Grant Professional Certified (GPC) or Certified Grants Management Specialist (CGMS) credential
