The School District of Beloit is seeking Grant Coordinator/Finance Assistant for the Business Office located at Kolak Education Center. This is a full time/permanent position that works 52 weeks per year. Full benefits are offered with this position. Minority and bilingual candidates are encouraged to apply.
Duties and Responsiblities
Oversee budget preparation and actual budget performance for all state and federal grants, ensuring compliance with grant guidelines
Prepare and file all required grant reports and claims within specific timelines in coordination with the assigned grant manager
Inform staff and answer questions regarding allowability of proposed expenditures related to all grants
Work collaboratively with administration, staff and potential donors to provide financial data and budgetary support to submit applications to granting agencies in a timely manner
File quarterly and annual Medicaid financial reports
Provide financial support for AGR and BLBC reimbursement claims
Submit Early College Credit Program reimbursement claim
Maintain Federal Grant Management procedure manual
Oversee time and effort and/or time study reporting
Maintain documentation of grant matching records as required
Work with private school administrators on uses of equitable services set asides. Place orders, process payments and maintain logs of equipment and materials provided to the private schools as required by federal regulations.
Update knowledge by participating in meetings, workshops and/or conferences
Provide a monthly board report on grant activities
Assist with the annual financial audit and/or other compliance audits as requested
Maintain district grant website
Assist staff with financial question/concerns regarding account coding and budgeting
Assist with new vendor set up
Manage Skyward True Time in relation to processing payroll
Input timecards and any additional pay records for payroll processing
Back up to the Administrative Assistant for Payroll
Monitor True Time transactions in Skyward
Assist all staff questions/concerns in regards to True Time
Assist with processing purchase orders on a daily basis
Assist with processing district accounts receivable and manage collection
Assist with accounts payable check register and match checks with invoices to ensure correct payment amount and vendor information
Upload positive pay bank file
Assume other duties assigned by the immediate supervisor or designee
