Job Description Summary

Reporting to the Senior Director of Student Accounts and a dotted line to the Director of Payroll, the Graduate Assistant for Student Accounts and Student Payroll supports the daily operations of the Student Accounts and Payroll Departments, assisting with student billing, payment processing, account inquiries, and student payroll functions. This position provides excellent service to students and families, maintains confidentiality, and ensures compliance with university and federal financial policies.

The role offers hands-on experience in university financial operations, accounting processes, and customer service, making it ideal for a graduate student pursuing a degree in business, accounting, or finance.

Responsibilities

Key Responsibilities

Responsible to model the University Mission through dedicated job performance, service excellence to constituencies, respectful collaboration and active support of the University's Mission in Catholic and Lasallian higher education.

Student Accounts Support

  • Assist with processing student payments, posting adjustments, and reconciling accounts.
  • Support billing operations, including tuition, fees, and miscellaneous charges.
  • Respond to student and parent inquiries via email, phone, or in person with professionalism and accuracy.
  • Help prepare billing statements, payment plan information, and account summaries.
  • Assist in reviewing student account balances for accuracy and completeness.
  • Support refund processing and communication with students regarding financial deadlines.
  • Maintain confidentiality of all student financial records in compliance with FERPA.
Student Payroll Support
  • Assist in processing student payroll, including timecard verification, data entry, and file review for accuracy.
  • Ensure compliance with university payroll policies and federal/state labor laws.
  • Support communication with student workers and supervisors regarding payroll timelines and issues.
Office Operations and Customer Service
  • Provide front-line service to students, faculty, and staff, ensuring a positive and professional experience.
  • Assist with filing, scanning, and data entry to support office efficiency.
  • Participate in office projects, audits, and end-of-term account reviews as assigned.
Support outreach efforts, such as financial literacy workshops or new student orientations.

Minimum Qualifications

Education and Experience
  • Must be enrolled as a graduate student at Lewis University in good academic standing.
  • Preference for candidates pursuing degrees in Accounting, Finance, Business Administration, all graduate degree seekers encouraged to apply.
  • Prior experience in customer service, cash handling, or administrative support preferred but not required.
Knowledge, Skills, and Abilities
  • Strong attention to detail and accuracy.
  • Excellent organizational and communication skills.
  • Ability to maintain confidentiality and handle sensitive financial information.
  • Familiarity with Microsoft Office (Excel, Word, Email, Teams)
