Responsibilities
This position will serve as the primary contact for the assigned academic program(s) - including enrollment and academic affairs duties. This entails admission, registration, graduation, and retention. Acts as liaison between the Office for Associate Dean for Research & Studies, Graduate Program Directors, Department Chairs, and/or Admission. Serves as liaison between the college and the universes regarding admissions and enrollment issues and will serve as a liaison between multiple campus locations.
Coordinates the admissions process to include evaluation, review, and processing of academic records, including calculation of GPAS for students applying to graduate engineering programs. Reviews Application eligibility. Responsible for notifying applicants of admissions decisions and corresponding record keeping.
Responsible for regular review of all information for prospective students on university website, admissions systems, and publications. Assists with coordination of recruitment and orientation events. Provides exceptional customer service and communication via e-mail, phone and virtual platforms to prospective students and applicants throughout the applications process.
Responsible for working with Program Manager to track all Graduate Assistantship offers and appointments for assigned programs (works closely with department, program manager, and COE HR). Drafts funding offer letters for newly admitted graduate students and continuing students, as needed. Ensures letters meet university standards for domestic and international students.
Responsible for advising students regarding required enrollment each semester. Assists graduate students with dropping, adding and substituting courses. Field requests to withdraw from universities and monitor students in likely to be dismissed or placed on academic probation. Reviews student files to ensure graduation requirements are met. Maintain student files. Facilitates, advises, and processes departmental, college, and university forms and coordinates updates for each students Program of Study as needed.
Responsible for tuition waiver entry and processing. Ensures PIE Certifications and SPEAK test requirements are met and tracked appropriately for Teaching Assistants. Responsible for building certain graduate classes and ensures accuracy of courses built into the University Course Schedule Master systems-DIS, dissertation, thesis defenses, prelim, exams, etc.
Maintains graduate student database and reports. Utilizes the Graduate Student Tracking system and Graduate SharePoint to ensure easy collection of data for various internal and external reports and surveys. Works with academic units to track and evaluate employment outcomes of graduates from all assigned programs.
Promotes an atmosphere of teamwork in accomplishing the mission and goals of the FAMU-FSU College of Engineering to include participating in the delivery of support services for special projects, scheduled events, in meeting key deadlines, or other duties as assigned.
Qualifications
A Bachelors degree and two years of experience or a high school diploma/equivalent and six years of experience (Note: or a combination of post high school education or experience equal to six years)
