The University of Louisiana System Board Office has a vacancy.
The Governance and Compliance Coordinator provides administrative, operational, and project management support to the Chief Operating Officer and Senior Vice President for Legal Affairs in the areas of public records administration, litigation management, policy development, regulatory compliance, and governance activities. The position serves as a key resource in coordinating information, maintaining records, tracking deadlines, and supporting institutional governance and compliance efforts.
The coordinator serves as the lead staff member for Personnel Committee administration and other assigned committee functions, while providing direct support to the Chief Operating Officer in legal, policy, and compliance matters.
Minimum Qualifications
- Paralegal Studies Certificate, associate degree, bachelors degree, or equivalent professional training in a related field.
- Five years of progressively responsible experience in legal administration, paralegal services, public records administration, litigation support, governance, higher education administration, government operations, or a related field.

Preferred Qualifications
- Experience working in higher education, government, or a legal office.
- Experience supporting executive leadership, governing boards, or committees.
- Working knowledge of Louisiana public records laws, governmental processes, and the operational requirements of Louisiana boards and commissions, including committee administration, public meeting procedures, and related compliance requirements.
Job Duties and Other Information
Primary Responsibilities
Public Records Administration
- Assist the Chief Operating Officer with the administration and coordination of public records requests received by the System Office.
- Maintain tracking systems for public records requests, deadlines, and responses.
- Coordinate the collection and organization of responsive records from campuses and System departments.
- Prepare draft correspondence and supporting documentation related to public records requests.
- Maintain records associated with requests and responses in accordance with applicablerequirements.
Litigation and Legal Administration
- Assist the Chief Operating Officer with the administration and tracking of litigation and legal matters involving the University of Louisiana System and its institutions.
- Maintain litigation databases, case summaries, reporting schedules, and related records.
- Coordinate the collection of information and documentation from campuses, outside counsel, and other stakeholders.
- Track deadlines, court filings, settlements, and significant developments in legal matters.
- Maintain confidential legal files and records.
Policy and Compliance Management
- Assist the Chief Operating Officer in monitoring legislative, regulatory, and policy developments affecting higher education.
- Maintain a comprehensive inventory of System policies and procedures.
- Track policy revisions and updates required by changes in law, regulation, Board action, or administrative directive.
- Coordinate policy review workflows and maintain records of policy revisions.
- Maintain calendars and tracking systems associated with policy reviews, reporting requirements, and governance activities.
Board and Committee Support
- Serve as the lead coordinator for the Personnel Committee and other assigned Board committees, including the Athletic Committee as directed.
- Coordinate the development, review, and organization of committee agenda materials, presentations, motions, and supporting documentation.
- Review submissions from campuses for completeness, consistency, and compliance with Board requirements.
- Prepare briefing materials, summaries, and supporting documentation for executive leadership.
- Coordinate communications between the System Office and campuses regarding committee matters.
- Track committee action items and assist in ensuring timely follow up on assigned matters.
Administrative Operations
- Maintain internal tracking systems, reports, calendars, and databases related to personnel actions, committee activities, public records requests, litigation matters, policy reviews, and administrative projects.
- Coordinate the collection and organization of materials from campuses and System staff for committee presentations and executive review.
- Prepare status reports, summaries, and supporting documentation for executive leadership.
- Maintain departmental records and working files in support of legal, policy, governance, and committee functions.
- Assist with special projects and strategic initiatives as assigned.
- Recommend administrative process improvements that enhance efficiency, consistency, and accountability.
