A Residency Coordinator manages the administrative and operational functions of a medical residency or fellowship program. This role supports residents, faculty, and program leadership by coordinating schedules, maintaining accreditation and compliance records, organizing recruitment and onboarding processes, and ensuring effective communication across departments. Residency coordinators help ensure the program meets Accreditation Council for Graduate Medical Education requirements while supporting the educational experience and daily operations of graduate medical education programs.

Position Purpose:
A Residency Coordinator manages the administrative and operational functions of a medical residency or fellowship program. This role supports residents, faculty, and program leadership by coordinating schedules, maintaining accreditation and compliance records, organizing recruitment and onboarding processes, and ensuring effective communication across departments. Residency coordinators help ensure the program meets Accreditation Council for Graduate Medical Education requirements while supporting the educational experience and daily operations of graduate medical education programs.

Key Job Activities:
Recruitment
Coordinates residency recruitment using ERAS program. Screens and evaluates all qualified applicants.
Communicates with potential applicants.
Enters rank list.
Maintains files of applicants to the residency program.
Arranges applicants to visit the hospital campus and coordinates accommodations, transportation and interview activities.
Resident Activities
Provides general assistance to residents including licensing and certification, the preparation and filing of loan deferment forms, and assists in the application process to professional associations.
Maintains accurate records of resident prior training.
Organizes remediation and adverse action process and documentation following established policies and procedures.
Responsible for overseeing logging of resident procedures.
Tracks annual resident vacation and conference requests.
Handles complex personnel and operating details as assigned.
Maintains and updates the resident database.
Verifies that resident credentials and licenses are kept current.
Coordinates resident rotation schedules, conferences, seminars, etc.
Responsible for organization and registration for the ABSITE.
Completes personnel forms to hire, promote or terminate employment of residents, report leave usage, etc.
Independently drafts letters and other materials related to training experiences for Program Director's review and signing.
Prepares and distributes resident's contracts for signature(s). Monitors the return of resident's contracts.
Conferences
Assists the Program Director in preparation and distribution of weekly conference schedules for residents. Notifies presenters of date, time, location and subject.
Schedules outside speakers and trainers for educational programs provided to faculty and residents.
MINIMUM Education:
Associate Degree or Bachelors degree or equivalent of four years experience in health care.
Other combinations of formal education, training and experience may be considered.
