Job Summary

Job Shift: Days

Job Type: Full Time

Manages the daily administrative operations of Undergraduate (medical students) and Graduate Medical Education Fellows for Vascular Surgery.

Responsibilities

Medical Student Coordinator: - 50%

  • Coordinates clinical experiences, student scheduling rotations and assessments.
  • Manages orientation, on-boarding, and documentation for MS3 and MS4 medical students.
  • Acting as a liaison between university departments, faculty and clinical sites.
  • Maintains records of student performance and ensures timely completion of evaluations.

Fellowship Program Coordinator: - 50%

  • They ensure compliance with ACGME & ACCME accreditation standards, manage scheduling, onboarding, and evaluations to support program educational goals. The coordinator serves as the point of contact for external rotators (residents and fellows) after they are cleared for onboarding.

  • This includes (but is not limited to): requesting access, ID badges, scrub access, and any other onboarding protocol as dictated by the specialty.

  • Ensures complete and accurate documentation, pursuant to ACGME institutional requirements. Maintains accurate and complete meeting minutes with annotations referencing specific ACGME institutional requirements.

  • Assists in the management and execution of program faculty.

  • Functions as the Accreditation Council for Graduate Medical Education (ACGME) program reviewer ensuring compliance with Program Letters of Agreement.

  • In collaboration with department leadership, ensures ACGME regulations, hospital, and institutional compliance including appropriate submission of status letters, progress reports, or other letters that maintain accreditation requirements.

  • Assists with the updating and management of the programs ACGME Annual Data System (ADS) system for pursuant to ACGME requirements.

  • Oversee participation in ACGME Fellow & faculty survey, and milestone submission.

  • Assist programs and institution to prepare for all accreditation visits

  • Develops Special Review documentation and functions as a liaison with program action plans.

  • Develops agendas, obtains relevant materials, and ensures timely review of documentation for GME meetings.

  • Other duties as assigned.

Qualifications

A. High school diploma required. Bachelor's degree or the equivalent combination of education and/or experience preferred.

B. Minimum three years' experience in Graduate Medical Education.

C. Experience with administrative duties

D. Experience with Microsoft office
