Global Mobility Coordinator

Job Description:
The Global Mobility team supports the safe and seamless movement of employees domestically and internationally, they are a key operator within the Global Mobility Department, focusing on the administrative and customer service elements of employee movement. This role is dedicated to providing high-quality support for personnel on both short-term and long-term field assignments, ensuring operational efficiency across payroll and expense systems.

Core Responsibilities
System Administration & JIRA Workflows
Concur Access: Manage system access requests within Concur. To include troubleshooting access issues.
Delegate Management: Administer and audit delegate access to ensure proper system permissions.
Termination Procedures: Execute "Termed Employee " protocols, specifically the final confirmation and reconciliation of outstanding employee expenses.
Data Auditing: Regularly monitor and resolve Concur error reports within the HCM system to maintain data integrity.
Mobility & Relocation Support
Case Coordination: Support the end-to-end mobility experience for employees on international assignments or domestic relocations, ensuring a seamless transition for the assignee
Compliance & Monitoring: Partner with immigration vendors to maintain strict compliance with visas and immunizations while proactively monitoring travel schedules for potential tax implications.
Documentation: Process relocation initiations, draft necessary documentation, and notify relevant business partners.
Liaison Services: Act as a point of contact for external vendors, ensuring they meet service standards for immigration and tax support.
Travel Logistics: Perform booking and ticketing for travel as required by assignment needs.
Orientation & Alignment: Schedule and conduct orientations for travelers, ensuring all departments are aligned and maintaining detailed flight logs and network day tracking.

Customer Service & Training
Employee Inquiry: Resolve day-to-day employee inquiries regarding mobility initiatives and expense policies.
User Training: Conduct training calls for new SAP Concur users to ensure they understand system navigation and compliance.
Data Maintenance: Update and maintain assignee files and mobility data within SharePoint and other internal systems.
Invoice Management: Oversee the timely processing and payment of invoices for all global mobility vendors.

Requirements & Skills
Experience: 2 3 years of relevant global coordination or international mobility experience.
Technical Skills: Proficient with Microsoft Office 365, with a strong emphasis on Excel for data management.
Velocity: Proven ability to handle a large case load at high velocity while maintaining a focus on customer experience.
Communication: Strong interpersonal and communication skills to convey complex guidance to customers and teammates.

Education:
High school diploma or equivalent is required;
Bachelor's degree in Business Administration is preferred.

Work Environment
Corporate Culture: This position operates out of a professional, fast-paced corporate headquarters in San Antonio, TX.
Collaboration: Work is performed in contemporary open workspaces and conference rooms, requiring frequent collaboration with Payroll and Legal teams.

Physical Expectations: Must be able to communicate via phone, video chat, and software systems; occasional site visits requiring Personal Protective Equipment (PPE) may occur.
