Martinez ES\n \nContract Months:12 \n \nSalary Range: $50,000.00 \u2013 $56,000.00 \n \nAcademic Year: 26-27 \n \nJOB SUMMARY\n \nThe Assistant Office Manager will play a crucial role in ensuring the smooth functioning of their assigned office and provide administrative support to the management team. The Assistant Office Manager is an entry-level position and will need to handle various tasks simultaneously. The Assistant Office Manager works closely with the Office Manager to maintain an organized and efficient work environment.\n \nMAJOR DUTIES & RESPONSIBILITIES\n\n Assist the Office Manager in coordinating and managing daily office operations.\n Handle incoming calls, emails, and other correspondence, directing them to the appropriate person or department.\n Greet visitors and clients, ensuring they have a positive experience and receive proper assistance.\n Maintain office supplies inventory and place orders when necessary.\n Coordinate and schedule meetings, appointments, and travel arrangements for the management team.\n Assist in the preparation of reports, presentations, and other documents.\n Manage office filing systems and ensure the confidentiality of sensitive information.\n Assist in organizing District events, including meetings, conferences, and social gatherings.\n Collaborate with other departments to facilitate interdepartmental communication and cooperation.\n Provide general administrative support as needed.\n* Performs other job-related duties as assigned.\n \nMAJOR DUTIES & RESPONSIBILITIES CONTINUED\n \nN/A\n \nEDUCATION\n \nHigh school diploma or equivalent.\n \nWORK EXPERIENCE\n \n1-3 years proven experience in an administrative role, preferably in an office setting. \n \nSKILL AND/OR REQUIRED LICENSING/CERTIFICATION\n \nExcellent organizational and time management skills.\n \nStrong attention to detail and ability to prioritize tasks effectively.\n \nProficient in using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).\n \nOutstanding verbal and written communication skills.\n \nAbility to work independently and collaboratively in a team environment.\n \nProfessional and courteous demeanor.\n \nFamiliarity with basic office equipment and systems.\n \nAbility to adapt to changing priorities and handle multiple tasks simultaneously.\n \nLEADERSHIP RESPONSIBILITIES\n \nNo supervisory or direct people management responsibilities. May provide occasional work guidance, technical advice, and training to staff. \n \nWORK COMPLEXITY/INDEPENDENT JUDGMENT\n \nWork and tasks are often straightforward, routine, structured and guided by established policies and procedures. Little, if any, independent judgment is required, outside of making basic choices in the selection and application of established methods. The job receives frequent, ongoing supervision.\n \nBUDGET AUTHORITY\n \nNo budget development activity is required.\n \nPROBLEM SOLVING\n \nDecisions are made on routine matters affecting few individuals and usually within the confines of the job's own department. Specific job activities and results are typically reviewed closely. There are limited requirements for developing new ideas or changes in methods, procedures, or services.\n \nIMPACT OF DECISIONS\n \nFollows rules and procedures. Decisions can have minimal or no impact to HISD. Errors can be readily detected, usually by the employee, and, if made, would result in minor expense for correction.\n \nCOMMUNICATION/INTERACTIONS\n \nBasic communication - very little communication required such as receiving basic instructions. Interactions are mostly with customers, own supervisor, and co-workers in own department.\n \nCUSTOMER RELATIONSHIPS\n \nFollows through with customer inquiries, requests, and complaints.
