Job Title: Full-Time House Manager & Family Assistant

Location: View Park, CA 90008

Employment Type: Full-time (40 hours/week), W2

Proposed Start Date: ASAP

Compensation: $30–35/hour, based on experience

Proposed Scheduled: Monday–Friday (Friday is typically a lighter day)

  • Core coverage needed: mornings to support school-day launch and household reset, plus midday/afternoon coverage for home operations and shifting pickups/activities.
  • Flexibility required: plans can change quickly week to week (and sometimes day of), including occasional earlier starts, later coverage, and periodic evening/date-night or overnight support by arrangement.
  • Notes: The family travels at times; summer typically includes extended family travel, which can align well with PTO and lighter weeks.

About the Family:

We are a warm, fast-moving, and dynamic family of five with three children ages 15, 13, and 7, along with two cats. Both parents primarily work from home, and our household blends family life with work-from-home schedules, occasional travel, and a steady flow of activities and visitors. We value a calm, pleasant home environment and operate best when the household runs on clear systems, strong communication, and shared responsibility.

Our kids are busy with school and after-school commitments, and we're a home where schedules can pivot quickly. We're also a family that enjoys hosting, both for community gatherings and for friends, so comfort with people in and out of the home is important. We're not religious, but we do observe and celebrate cultural holidays and prioritize family time and meaningful routines.

The role requires a person who is adaptable, proactive, systems-driven, and able to handle various family tasks, from logistics to organizing, running errands, light child care, and supporting meal prep. We value someone who is comfortable with a fast-paced, ever-changing environment, can maintain clear communication, and remains flexible with shifting priorities.

Who You Are:

You are the “connecting glue”—a highly organized, proactive House Manager who creates consistent systems and takes real mental load off the parents. You're Type A in the best way: meticulous, detail-driven, and motivated by running an efficient, well-labeled, functional home (not just aesthetically organized). You're socially confident, comfortable greeting guests, and skilled at navigating a home where work and family life overlap.

You communicate directly, take feedback well, and stay drama-free and professional. You're flexible when plans change, and you're the kind of person who naturally builds checklists, SOPs, and simple routines that actually stick. You can also coordinate with outside support (sitters, cleaners, vendors) and manage handoffs so tasks get completed correctly.

Additional items that matter to our family: comfort with cats, alignment with a respectful and professional home environment (including discretion around sensitive topics).

This role spans household operations, family logistics, and hands-on support; responsibilities vary week to week based on family needs and travel.

Core Responsibilities:

Household Management & Organization:

  • Oversee and maintain organization of closets, storage, pantry, and household supplies.
  • Support home organization with labels, maps/indexes, and simple upkeep routines.
  • Reset and tidy common areas and kids' rooms daily, ensuring the home is prepped for cleaning services, and to keep it guest ready.
  • Light daily home upkeep: wiping key surfaces, light vacuuming of high-traffic areas, and supporting children in completing pick up/chores such as unloading the dishwasher, managing trash/recycling, etc.
  • Help prepare the home for hosting and gatherings (including community dinners), guest readiness, and holiday/event resets.
  • Evaluate household items to determine the most appropriate next step- donation, resale, or disposal- and manage all related logistics, including pickups, drop-offs, and online listings.
  • Maintain indoor plants and help revive/establish simple care routines.

Inventory Management & Errands:

  • Create and manage household inventories (groceries, toiletries, pantry staples, household supplies) and run errands (grocery shopping, dry cleaning, gift shopping, returns, etc.).
  • Coordinate and manage household orders
  • Manage package pickup and mail sorting, organize incoming deliveries, and break down boxes, flagging items designated for content or special handling.

Property Readiness & Operations

  • Manage multiple properties and ensure readiness for family and approved guest use
  • Oversee property-specific systems (HVAC, security, pool, utilities) and coordinate service as needed
  • Conduct regular walk-throughs to ensure upkeep, safety, and organization
  • Oversee outdoor spaces, including fruit tree upkeep and seasonal landscaping needs

Travel, Turnover & Rental Support

  • Set up and maintain systems for seamless property turnover during family travel or guest stays
  • Coordinate home turnover for short-term rentals during extended travel, including linens, bedding, towels, and kitchenware readiness
  • Ensure properties are properly stocked and reset before and after rentals or extended vacancies
  • Support packing and unpacking for travel, family trips, and seasonal transitions of clothing and décor, establishing SOPs, and ensuring packing lists are tailored to trip type and weather.

Vendor & Cross-Team Coordination

  • Serve as primary point of contact for vendors, guests, and approved third parties
  • Coordinate with external assistants or operations managers (e.g., primary's team) on timelines, priorities, and monthly needs

Vendor & Property Oversight

  • Supervise and coordinate household service providers and vendors (e.g., handymen, cleaners, landscapers)
  • Ensure routine maintenance is up to date by coordinating with ongoing vendors
  • Assist with scheduling maintenance appointments, including tracking seasonal needs
  • Research, obtain, and coordinate quotes, repairs, and maintenance projects as needed
  • Coordinate routine upkeep across multiple properties, including the Malibu residence

Administrative Support:

  • Support travel planning, scheduling, and logistics (e.g., using points, passport handling, etc.)
  • Handle basic budgeting, expense, and receipt tracking
  • Coordinate with family's CPA
  • Help with the family's calendar, including scheduling medical appointments, auditions, and after-school activities.
  • Manage communications with various household staff, including helping with guest arrangements and special events.

Meal Planning & Preparation Support:

  • Grocery shop for meal needs and maintain an organized kitchen flow.
  • Support prep for healthy meals and family-friendly components for 3-4 dinners/week (example: start rice, chop/roast veggies, prep proteins, set up for quick finishing).
  • Support school lunch planning and prep—encouraging kid involvement when possible, as part of routine and independence-building.
  • Follow family preferences: clean/whole-food oriented, “healthier swaps,” quality ingredients, balanced meals; generally gluten-light and dairy-light (not allergy-driven). ****
  • Support clean up post-prep and manage kitchen tidiness

Laundry & Linen Support

  • Iron, steam, and prepare outfits as needed.
  • Support laundry flow as needed (folding, organizing, putting away systems), especially when household pace increases.
  • Assist with periodic linen refreshes
  • Keep laundry areas tidy and stocked with supplies.

Pet Care

  • Assist with feeding cats and litter box maintenance as needed
  • Schedule and coordinate veterinary appointments
  • Support administering pet medications as required.
  • Maintain and organize pet supplies, ensuring items remain stocked
  • Research, secure, and manage pet insurance coverage

Vehicle Management:

  • Oversee vehicle maintenance, including scheduling oil changes, car washes, and ensuring vehicles are well-maintained.
  • Track maintenance schedules and coordinate service appointments (fueling, cleaning, inspections, registration reminders, service timing).
  • Maintain an organized, up-to-date vehicle log and service calendar.

Deep Cleaning & Special Projects

  • Own special projects such as seasonal swaps (clothing, décor, bedding), gear rotation, and closet/pantry overhauls.
  • Support travel packing/unpacking systems: develop repeatable checklists (warm weather vs. cooler weather, activity-based add-ons) and help kids pack with oversight.
  • Support occasional home turnover processes when the family is away (systems already exist; this role helps keep them consistent and smooth).
  • Clean humidifiers, washing machines, and air purifiers as needed

Family Support:

  • Support school-day launches as needed, including morning prep, lunches, and drop-off coordination
  • Coordinate schedule changes, including shifting pickups and after-school activities as needed
  • Reinforce family expectations around age-appropriate independence, guiding children to participate in and complete their own responsibilities
  • Provide occasional backup childcare, including periodic evening/date-night coverage and occasional overnight support by arrangement
  • Foster a positive, supportive environment, particularly for children involved in acting and modeling
  • Support after-school routines, including transportation, homework, extracurricular activities, and schedule management

Qualifications:

  • Strong organizational skills and ability to create systems that maintain order and efficiency.
  • Comfortable with flexibility and adapting to changing plans.
  • Excellent communication skills, both written and verbal.
  • Experience managing a family household, preferably in a similar role.
  • Ability to handle multiple tasks simultaneously while keeping a calm and organized environment.
  • Comfortable with occasional travel (e.g., assisting with family trips or supporting in-home needs during travels).

Requirements:

  • Maintain a smoke-free environment.
  • Reliable transportation (Preference for using your personal vehicle for errands and local driving support, with mileage reimbursement provided).
  • Excellent organizational skills and strong follow-through (checklists, SOPs, and “closing loops”).
  • Comfortable in a lively, social home with frequent visitors; able to “read the room” and maintain appropriate professionalism.
  • High emotional intelligence, discretion, and strong boundaries.
  • Adaptable and calm under changing plans; solution-oriented and proactive.
  • Comfortable supporting a wellness-focused household (active, energetic, hands-on).
  • CPR certified preferred.
  • Vaccinations preferred (including routine, COVID, and flu).
  • Able to work around cats in the home.
