Client Services Representative
We’re looking for a compassionate, detail-oriented Client Services Representative to support our clinic and shelter operations. In this role, you’ll be the first point of contact for our clients—helping create a positive, informative, and supportive experience for both people and their pets.
What You’ll Do
Administrative Support & Client Communication
- Answer calls, emails, and messages with professionalism and care
- Schedule wellness visits, spay/neuter appointments, and adoption meetings
- Provide accurate information and guide clients to the right resources
- Maintain accurate records across multiple systems
- Support reporting and documentation tasks
- Deliver a welcoming, high-quality front desk experience
- Process payments and complete daily cash reconciliation
- Communicate policies, procedures, and required protocols clearly
Client Education & Advocacy
- Explain basic veterinary topics such as vaccines, preventative care, and medications
- Accurately relay instructions from veterinary staff
- Collect medical and behavioral histories from pet owners
- Support and promote our mission of pet retention, spay/neuter, and wellness care
Clinic Support
- Assist with patient intake and check-in processes
- Learn and use clinic software systems
- Provide preventative care products (flea/tick, heartworm) as appropriate
- Communicate patient updates or concerns to veterinary teams
- Review discharge instructions and answer client questions
Patient Care (Client-Facing)
- Gather detailed intake information for each visit
- Review aftercare and post-operative instructions with clients
- Communicate potential risks or follow-up needs as directed
- Coordinate with care teams on services, updates, and billing
Animal Handling (Minimal)
- Recognize basic animal behavior and body language
- Handle animals safely within your comfort level
- Ask for assistance when needed
Environment Care
- Keep reception and lobby areas clean, organized, and welcoming
- Restock supplies and maintain a professional front desk environment
What You Bring
- High school diploma (or equivalent) and valid driver’s license
- Previous administrative or customer service experience
- Strong communication and multitasking skills
- Comfort working with computers (Microsoft Office, email, and new systems)
- Ability to follow and clearly explain instructions
- Positive, empathetic, and team-oriented approach
