JOB SUMMARY
The Front Office Representative II role at Catalyst Physician Group will be the first point of contact for patients and play a vital role in ensuring a positive and seamless patient experience. This is an intermidiate level role designed for individuals with experience in healthcare administration, demonstrating increased independence and proficiency in front office tasks. ROLE AND RESPONSIBILITIES:
- Greet patients warmly and professionally and and consistently create a positive patient experience
- Phreesia registration
- Accurately check patients in and out using the electronic health record (EHR) system
- Collect and verify insurance information and patient demographics
- Collect co-pays and balances at the time of service
- Answer incoming calls and direct messages appropriately
- Schedule appointments and follow-up visits according to protocol
- Coordinate rescheduling, cancellations, and no show follow-ups
- Verify insurance eligibility and benefits in advance
- Maintain cleanliness and organization of the front office
- Provide general administrative support to the office team
- Adhere to patient privacy and HIPAA regulations
- Insurance verification, scheduling, and resolving registration issues
- End-of-day closing, time-of-service collections, leading reschedules
- Managing provider schedules, appointment times and blocks
- Reviewing and explaining patient balances
- Scrubbing the assigned providers patient schedule in advance
- Executing TOS collections workflow and utilizing approved patient scripting
- Generating patient balance reports and explaining corresponding workflow
- Executing Phreesia pre-registration for scheduled visits
- Auditing AIDET compliance and completing required training
- Mentoring and training new hires; completing competency check offs
- Coordinating basic work flow and managing provider schedules
- Independently resolving routine patient questions and routing escalations
- Adhering to compliance protocols (HIPPA, Insurance)
- Managing financial transactions and reviewing patient balances
MINIMUM QUALIFICATIONS AND REQUIREMENTS:
- Minimum 2 years of related experience in a healthcare setting
- Excellent communication and organizational skills
- Basic computer proficiency
