Position Summary

The Front Office Assistant serves as the first point of contact for the organization and plays a vital role in supporting daily operations. This position provides administrative, clerical, and customer service support in a mission-driven, non-profit environment. The ideal candidate is friendly, organized, detail-oriented, and committed to supporting the organization's mission and community.

Key Responsibilities

Front Desk & Client Support

  • Greet and assist visitors, clients, donors, and volunteers in a professional and welcoming manner
  • Answer and direct phone calls, emails, and general inquiries
  • Provide basic information about programs, services, and events

Administrative Support

  • Perform general office duties including filing, data entry, copying, scanning, and mail distribution
  • Maintain organized physical and digital filing system
  • Schedule appointments and manage calendars as needed
  • Assist with preparing correspondence, reports, and forms for leadership staff

Data & Records Management

  • Enter and update client, donor, or program data accurately
  • Maintain confidentiality of sensitive information
  • Support compliance with organizational policies and procedures

Operations & Coordination

  • Assist with inventory and ordering of office supplies
  • Support meetings, workshops, and events (setup, sign-in sheets, materials)
  • Coordinate with staff, volunteers, and external partners as needed

Qualifications

  • 2 years or more of college business courses or equivalent
  • Strong verbal and written communication skills
  • 1–2 years of administrative, front desk, or office experience
  • Strong interpersonal and customer service skills
  • Proficiency in Microsoft Office or Google Workspace
  • Familiarity with CRM systems; experience with donor or client databases is a plus
