Job Summary
A manufacturing-based organization is seeking a dependable and professional Front Desk / HR Assistant to serve as the first point of contact at its Claremore facility while supporting daily human resources and administrative functions. This role is ideal for a detail-oriented individual who enjoys interacting with people, staying organized, and supporting HR operations in a fast-paced, hands-on environment.
Key Responsibilities
Front Desk & Administrative Duties
- Greet employees, visitors, vendors, and applicants in a friendly and professional manner
- Answer and route incoming phone calls; respond to general inquiries
- Manage front desk coverage, mail distribution, and facility sign-in procedures
- Maintain office supplies and coordinate orders as needed
- Perform general clerical duties including filing, scanning, copying, and data entry
Human Resources Support
- Assist with onboarding and offboarding processes (new hire paperwork, orientations, badge access, etc.)
- Maintain accurate and confidential employee records (paper and electronic)
- Support recruitment efforts by scheduling interviews and communicating with candidates
- Assist with timekeeping, attendance tracking, and employee documentation
- Help coordinate training sessions, safety meetings, and internal communications
- Respond to basic employee questions and escalate issues to HR leadership when appropriate
Compliance & Confidentiality
- Handle sensitive employee information with a high level of professionalism and discretion
- Support HR compliance efforts related to company policies and employment regulations
- Follow all company safety policies and procedures applicable to a manufacturing facility
Qualifications
Required Qualifications
- High school diploma or equivalent
- 1+ year of experience in an administrative, front desk, or HR support role preferred
- Strong verbal and written communication skills
- Proficiency with Microsoft Office (Word, Excel, Outlook)
- Ability to multitask, prioritize, and remain organized in a fast-paced environment
- Professional demeanor with a strong customer-service mindset
Preferred Qualifications
- Previous experience in a manufacturing or industrial environment
- Basic knowledge of HR processes, hiring practices, or payroll/timekeeping systems
- Familiarity with HRIS systems or applicant tracking systems (ATS)
