Description of Duties:
Objectives of this Role:
The Front Desk Coordinator serves as the first point of contact for patients, families, and visitors, providing a welcoming, professional, and compassionate environment. This role supports clinic operations by managing scheduling, patient registration, communication, and administrative tasks whilemaintainingconfidentiality and compliance with HIPAA standards.
Key Responsibilities:
Patient Interaction and Customer Service: Greet patients and visitors in a friendly, respectful, and professional manner
.
Check patients in and out for appointments
.
Verify patient demographics, insurance, and contact information
.
Respond to phone calls, emails, and inquiries promptly and courteously
.
Manage high-volume call traffic and triage calls appropriately.
Scheduling and Coordination: Schedule, reschedule, and confirm appointments in the electronic health record (EHR) system. Coordinate provider schedules andmaintainaccuratecalendars
.
Send appointment reminders and follow up on missed appointments (no-shows).
Administrative Duties
:
Maintainaccuratepatient records and documentation. Collect co-pays, balances, and process payments as needed. Scan, upload, and file documents in the EHR system
.
Assistwith intake paperwork and onboarding of new patients. Maintain front desk organization and supplies
.
Compliance and Confidentiality: Ensure all patient information is handledin accordance withHIPAA and privacy regulations. Follow clinic policiesregardingpatient confidentiality and data security. Maintain professional boundaries in a behavioral health setting.
Support Clinical Team: Communicate effectively with clinicians and administrative staff
.
Relay messages, urgent concerns, or scheduling conflicts to providers. Assistwith basic coordination of care as directed.
