You are the first person members, families, and community partners see when they walk through the door. You set the tone for the office, keep communication moving, and help clinical teams stay organized throughout the day.
At Pathways to Life, our Front Desk Administrator supports a behavioral health team serving children, adults, and families across the Charlotte community. On a typical day, you may greet a parent arriving for services, help a clinician coordinate schedules, answer time-sensitive calls, and organize documentation that keeps services running without delays.

Welcome members, families, and visitors in a professional and respectful manner
Answer incoming calls and route messages to the correct staff quickly
Schedule appointments and help manage daily office flow
Scan, organize, and maintain client and administrative documents
Support compliance requirements by protecting confidential and HIPAA-sensitive information
Assist leadership and clinical staff with administrative tasks and office coordination
Monitor office supplies and help maintain a clean, organized workspace
Support communication between providers, staff, and community partners
You stay organized even when multiple things happen at once
You communicate clearly with families, staff, and community partners
You notice details others miss
You can shift priorities without losing track of responsibilities
You arrive on time, follow through, and handle responsibilities independently
You stay calm and professional during high-volume or stressful moments
High School Diploma or GED required
Associate degree preferred
1+ year of front desk, receptionist, or administrative experience
Experience in healthcare, behavioral health, or medical offices preferred
Comfortable using email, Google Workspace, scheduling systems, and basic office technology
Stable behavioral health organization serving North Carolina communities since 2006
Team environment where staff regularly support each other during high-volume days
