Job Summary

  • Baylor Scott & White Dallas Foundation is seeking a dedicated Officer on the Development team to support fundraising efforts for Texas's largest not-for-profit healthcare system, Baylor Scott & White Health.

  • Reporting to the Sr. Director of Major Gifts, the Development Officer will act as the primary project manager for the Vice President of Development, the Sr. Director of Major Gifts, and major gift officers, coordinating and overseeing support for day-to-day activities and various major gift initiatives. This includes tracking proposal progress, ensuring timely follow-up, and maintaining accurate records of donor interactions.

  • Additionally, the Development Officer will coordinate meetings between physicians, donors, and major gift officers, preparing agendas, briefing materials, presentations, and follow-up actions. They will also plan, organize, and execute physician and community cultivation events, managing logistics such as venue selection, invitations, and attendee tracking by collaborating with internal teams and external vendors.

  • The core responsibilities of this role include demonstrated project management, data maintenance, written and visual content creation, relationship building, event management, and verbal/written communication.

  • Hybrid position - onsite three days per week and for events as needed.

Essential Functions of the Role

  • Support the development team by serving as a project management partner to advance philanthropic activities.
  • Oversee proposal data entry and regular updates in partnership with major gift officers.
  • Maintain accurate records of donor interactions and proposal activities.
  • Schedule and coordinate meetings between physicians, donors, and the development team.
  • Prepare agendas, briefing materials, presentations, and follow-up actions for Foundation and service line meetings.
  • Collaborate and build strong relationships with Foundation teams and internal BSW stakeholders.
  • Plan, organize, and execute physician and community cultivation events.
  • Manage development event logistics such as venue selection, invitations, and attendee tracking.
  • Demonstrate strong verbal and written communication skills to effectively convey information and engage internal and external stakeholders.
  • Generate reports and analyze data to support fundraising strategies.

Key Success Factors

  • Bachelor''s degree in business administration, communications, journalism, marketing, non-profit studies or other related disciplines from an accredited college or university.
  • Ability to coordinate and oversee complex projects, ensuring timely completion and high-quality outcomes.
  • Proficiency in using donor management software and maintaining accurate databases.
  • Excellent organizational skills to schedule and coordinate meetings.
  • Ability to prepare detailed agendas, briefing materials, and presentations.
  • Strong follow-up skills to ensure meeting actions are completed.
  • Comfortable taking initiative and executing projects amidst some ambiguity.
  • Experience in planning and executing events, including logistics management.
  • Strong writing skills to develop clear and compelling content for presentations and communications.
  • Strong interpersonal skills, maturity and good judgment and capable of communicating with a diverse range of individuals.
  • Outstanding customer service skills and high expectations for quality.
  • Strong work ethic and willingness to take ownership of evolving responsibilities.
  • Adaptable to evolving business needs and a changing environment.
  • Comfortable working within a demanding and complex corporate environment with access to highly confidential and proprietary information.
  • Experience working in Microsoft Office 365 Suite including Microsoft Word, Excel, PowerPoint and SharePoint.
