Summary & Qualifications:

Position Summary

This position provides administrative and clerical support for the Food Services department. This entails creating and distributing client invoices, maintaining client deposits and payments, processing daily sales and bank deposits, managing and tracking of student meal plans, and authorizing accounts payable for both the Hagerty Center and Hawk Owl Café.

Qualifications

Associates degree (Required)

Minimum of 1 year experience with Google Suite, Excel, and Word (Required)

Minimum of 2 years of customer service experience (Required)

Minimum of two years office experience (Required)

2 years of accounting experience (Preferred)

Associates degree in a business field (Preferred)

Experience and skills in databases and CRM software programs (Required)

Experience in coordinating office tasks and managing multiple projects simultaneously (Preferred)

Experience in the Hospitality Industry (Preferred)

Essential Responsibilities

(Critical)

Conducts internal auditing to help assure records are accurately maintained, and the established policies and procedures are followed.

Processes daily sales and bank deposits for Hagerty Center and Hawk Owl Café.

Administers meal plan allocations to student accounts and monitors utilization, balance adjustments, and resolves meal card-related issues.

Audits all internal & external cash and charge expenditures.

Coordinates the processing of external vendor invoices and administers the setup of blanket purchase orders.

Oversees client billing and collection procedures with the NMC business office and monitors collection of past due accounts with the NMC business office, and advises the Director when difficult situations may arise.

Performs general office and clerical tasks to assist the Director and other professional staff.

Assists with entering, contracting and monitoring events in R25 and event temple scheduling programs.

Manages cash flows and establishes controls to safeguard funds.

Coordinates catering for Hawk owl Café and assists with setup as needed.

Assists with day-to-day operations in the Hawk Owl Café as needed.

Receives clients, guests and students when appropriate.
