Position Summary:

The Administrative Assistant role supports the Financial Aid team by being a student-focused professional who is dependable, friendly, organized. This key role supports students and families through the financial aid process by managing data, coordinating office logistics, and ensuring smooth daily operations. As the first point of contact for many students, the Administrative Assistant helps create a welcoming environment in a fast-paced, service-driven office.

Duties and Responsibilities:

As the Financial Aid Administrative Assistant, your responsibilities will include:

File & Data Management

  • Review, record and upload documents submitted by students throughout the aid award year as required for student aid awarding and disbursement
  • Manage incoming and outgoing documentation to internal and external constituents of the college

Student & Visitor Support

  • Greet and assist students, parents, and visitors with professionalism and care
  • Answer incoming phone calls, respond to general inquiries, and direct calls to appropriate staff
  • Keep the reception area tidy, welcoming, and well-organized
  • Manage departmental emails

Event & Communication Coordination

  • Plan and coordinate Financial Aid and College wide events such as Financial Aid Awareness Day and semester move in
  • Manage financial aid literature and ensure students are informed of new information

Office Operations

  • Distribute incoming mail and documents to the correct personnel.
  • Supervise student workers and support a smooth office workflow
  • Assist with office supplies, inventory, and special projects as assigned

Qualifications & Skills

Education & Experience

  • Bachelor's degree required
  • Prior administrative experience in a college or financial aid setting is preferred

Technical Skills

  • Strong computer skills are essential
  • Knowledge of EdConnect, PowerFAIDS, Jenzabar, ELM, and FSA Online is preferred

Interpersonal Skills

  • Exceptional people skills and a customer-service mindset
  • Ability to communicate effectively and work collaboratively with students, families, and staff
