Position Summary

The K-8 School District is seeking a detail-oriented, organized, and customer-focused professional to serve as our Bookkeeper / Administrative Assistant. This position combines financial recordkeeping responsibilities with administrative support functions that help ensure the efficient operation of the district office and school. This would be the sole administrative assistant for the district.

The successful candidate will play a key role in managing district financial processes, supporting staff and families, maintaining records, and providing excellent customer service to students, parents, staff, and community members.

Work Schedule

This is a 0.8 FTE position with an annual salary of $50,000.

  • Full-time during the school year when students are in attendance.

  • Reduced part-time schedule during the summer months.

  • The annual work schedule is designed to equal 0.8 FTE over the course of the year.

Specific work hours and summer schedule will be established with the successful candidate.

Essential Duties and Responsibilities

Bookkeeping Responsibilities

  • Process accounts payable and accounts receivable transactions and cash receipts.

  • Prepare and maintain financial records and reports to include monthly board reports.

  • Complete Medicare reporting requirements.

  • Complete bank deposits

  • Reconcile bank statements and district accounts.

  • Assist with budget tracking and expenditure monitoring.

  • Process purchase orders and vendor payments.

  • Maintain accurate financial documentation and filing systems.

  • Code billing statements to correct account codes

  • Ensure compliance with district policies and applicable regulations.

Administrative Assistant Responsibilities

  • Serve as a primary point of contact for visitors, parents, staff, and community members.

  • Assist with job postings, the annual staffing report.

  • Prepare athletic/club stipend memos.

  • Lead student transfer requests, open enrollment processing and correspondence, state level bi annual student counts and the lunch program.

  • Answer and direct phone calls and email inquiries.

  • Maintain student, personnel, and district records.

  • Assist with scheduling, correspondence, and meeting coordination.

  • Prepare reports, forms, and other administrative documents.

  • Support district communications and office operations.

  • Assist administrators with special projects and other duties as assigned.

Qualifications

Required:

  • Bachelors in accounting, business administration, office administration, or related field; or equivalent combination of education and experience.

  • Experience in bookkeeping, accounting, payroll, or financial recordkeeping.

  • Proficiency with Microsoft Office Suite, particularly Excel.

  • Strong organizational skills and attention to detail.

  • Ability to maintain confidentiality and handle sensitive information.

  • Excellent written and verbal communication skills.

  • Ability to work independently and manage multiple priorities.

Preferred:

  • Experience in a school district or public-sector environment.

  • Knowledge of governmental or fund accounting practices.

  • Experience with school finance or student information systems.

  • Experience with payroll processing and benefits administration.
