Position Summary

The Financial Aid Representative is the primary point of contact for providing information and assistance related to financial aid and general enrollment topics on campus and in the community. Responsibilities include assisting students with various forms and financial aid processes; managing the Colleges scholarship (waivers) software platform and processes; planning and conducting financial aid workshops; communicating with students and parents; and using critical thinking skills to make decisions based on federal and state policies.

SALARY SCHEDULE PLACEMENT: Range of $39,759 - $57,251, based upon the 2025-2026 Alabama Community College System and Shelton State Community College Salary Schedule E3-4 to be determined by the applicant's education and years of applicable experience. Essential Duties and Responsibilities

Primary Job Duties and Responsibilities:

  • Primary point of contact for processing all institutional waivers

  • Primary point of contact in conducting Financial Aid Workshops for high schools, outside organizations, potential, and current students

  • Assist with the processing of the SAP Appeals

  • Assist students and parents with financial aid questions

  • Manage the Colleges scholarship (waivers) software program and processes

  • Support the financial aid director as needed

  • Log into the Enrollment Services Phone System to assist callers with financial aid questions

  • Log into the College's Chatbot software to assist visitors

  • Perform advanced clerical skills to include:

  • Using the college administrative software application system (Banner)

  • Creating and maintaining Excel databases

  • Organizing and presenting information in tables, charts, spreadsheets, etc.

  • Demonstrate effective oral and written communication skills such as:

  • Preparing accurate reports from varied information

  • Making oral presentations on job-related topics to groups

  • Understand and follow advanced written and verbal instructions including, but not limited to:

  • Assimilating knowledge of institutional policies and procedures

  • Independently following departmental guidelines and procedures

  • Assimilating knowledge of records management policies and procedures outlined in the Alabama State Records Manual

Secondary Job Duties and Responsibilities:

  • Provide exceptional customer service to potential, current, and former students, parents, and stakeholders
  • Answer questions and provide helpful and courteous service to all individuals
  • Analyze information provided and interpret the best solution or plan of action
  • Assist in resolving student inquiries and concerns as it relates to financial aid
  • Process incoming student information
  • Maintain files and records for all necessary information
  • Assist with all registration and financial aid activities
  • Process and send correspondence regarding student issues or concerns
  • Create electronic student files
  • Establish and maintain positive working relationships with other administrative, faculty, and staff personnel
  • Facilitate the timely and effective flow of campus communications and documents
  • Participate in staff and committee meetings
  • Communicate with other divisions regarding policy changes
  • Maintain confidentiality of all information
  • Advise students regarding financial aid possibilities and regulations

  • Comply with policies of the Alabama Community College System and the College

Qualifications

Required:

  • Associate degree or higher
  • Experience in a professional office setting
  • Minimum of three years of experience with federal financial aid

Preferred:

  • Experience with Microsoft Office Suite
  • Experience with Banner
  • Experience in a college setting

Salary Calculation: For all positions on all Salary Schedules, the salary amount for the selected applicant is determined by step placement on the applicable schedule. Step placement is dependent upon the following: (a) all work experience in public education in Alabama and (b) all other work experience outside of public education in Alabama that, in the sole judgment of the College, directly relates to the requirements of the position. The applicant selected for the position must provide written verification(s) of this work experience within the time provided herein if such experience is to be considered in determining their initial step place on the Salary Schedule.

Format for Work Experience Verifications: Work experience verifications should be in the form of verification letters from employers and must include complete employment dates, job title(s), job duties, and an indication whether such employment was full-time or part-time, and if part-time, the average number of hours worked each week. The letters should be on official letterhead and contain an authorized personnel signature. The College's official employment verification form is also acceptable and is available upon request. If an employment verification cannot be obtained due to a legitimate reason, for purposes of meeting minimum requirements an applicant may submit copies of other trustworthy documentation such as appointment letters, contracts, pay stubs, or W-2 forms documenting the term of employment. However, such documentation is generally insufficient for salary calculation purposes if job duties and dates of employment are not self-evident in the documentation.

Sick Leave

All regular full-time non-instructional staff earns one day of sick leave which is the equivalent of 8 hours of sick leave per month. Unused sick leave is rolled over to the following year. Retirement

The TRS was established in 1939 to provide benefits to qualified persons employed by state-supported educational institutions. Responsibility for the management and administration of the TRS is vested in its Board of Control. The Boards of Control elect the Secretary-Treasurer who serves as the Chief Executive Officer of the RSA and is responsible for the day-to-day management of the RSA. Tuition Assistance

This tuition waiver program is designed for all full-time instructional and non-instructional employees of The Alabama College System and the Alabama Department of Postsecondary Education and their dependents as defined under by policy. The program will be coordinated by each institution for employees within The Alabama College System and the Alabama Department of Postsecondary Education. An application form for the tuition assistance program is available in the Human Resources office and should be completed prior to registration for classes.

Employees/Dependents at two-year colleges:

  • 1/3 waived after 1st year
  • 2/3 waived after 2nd year
  • 3/3 waived after 3rd year
