Job Title Financial Aid Assistant Classification Title Department Financial Aid Work Location Main Campus Duties
Under supervision, the Financial Aid Assistant is responsible for the intake of student inquiries relating to all aspects of financial aid, which includes, but is not limited to, federal and state grants, student loans, veteran benefits, scholarships, work-study, and third-party billing. This includes referencing to various reports, assisting the Financial Aid Expeditors with servicing students and ensuring that paperwork is complete, answering calls and taking messages for the department and providing clerical support for the Director and Coordinator as needed. The Financial Aid Assistant is dedicated to the learning college concepts by developing programs and facilitating activities that promote student success and lifelong learning.
Duties may include:
- Screen student needs for all calls and students coming in person to the Financial Aid Department and schedule appointments when needed.
- Explain financial aid application process and awards available to prospective and currently enrolled students.
- Prepare copies of students' appeals along with transcript for appeal committee's review.
- Generate letter to students indicating committee decision. Update Excel spreadsheets.
- Prepare Court of Claims documentation for the CFO's signature/notary.
- Review ISAC roster of students in default; prepare rights and responsibilities letter and update logs.
- Prepare exit interview packet/letter for student borrowers.
- Distribute work-study award information to the Job Resource Center. Create letters and maintain Excel spreadsheet to track pay rate, work-study award dollars, supervisor and department, earned dollars after each payroll.
- Ensure all brochures, forms, and financial aid applications are stocked and updated. Order additional stock through various banks, the Department of Education, ISAC, and Moraine.
- Track receipt of master promissory notes (MPN) and entrance loan counseling for student borrowers. Follow-up with students.
- Schedule rooms for loan sessions biweekly. Make reminder calls to students.
- Review non-compliance report for students who have previously appealed and have been granted aid. Prepare non-compliance I and non-compliance II letters for distribution.
- Prepare mail-merge letters to be sent to instructors.
- Order supplies, maintain stock room, and keep inventory of all supplies and follow up on delivery dates.
- Submit work requests for copies through Marketing and Campus Operations requests.
- On a monthly basis, tally the number of students for reporting purposes and chart on Excel spreadsheet. On a weekly basis, prepare report of student files received, incomplete, complete, or in corrections and track.
- Troubleshoot problems that arise with the copy machine and call service.
- File correspondence and other records according to established file classification system.
- May assist in training new employees related to financial aid and campus resources.
- Routinely handle confidential material and maintain confidence.
- Perform other related duties as assigned.
Education/Experience
High school diploma or general education degree (GED); and minimum of one (1) year related experience and/or training in customer service experience required.
Note: Software and skills proficiency testing for the specific position will be required upon hire and must be successfully completed within the probationary period, if this testing has not been previously completed within the year.

- Must possess excellent oral communication skills with the ability to handle diverse situations to avoid confusion and obtain cooperation.
- Ability to work both independently and as a team with little supervision. Ability to exercise good judgment.
- Ability to prioritize and multi-task in a fast-paced work environment with attention to detail.
- Must possess above average organizational skills.
- Ability to type 40 words per minute (wpm).
- Ability to use a computer, preferable experience in Microsoft Word and Excel.
