The Office of Technology Development (OTD) provides venture capital and access to Boston University's scientific and technical resources to growing businesses. Boston University, through OTD, was one of the first universities to develop a focused venture capital and technology transfer program. The Office of Technology Transfer is one of four Offices under OTD and manages the technology transfer program at Boston University and Boston Medical Center. The Office assists the University's faculty in identifying, protecting, and commercializing the University's intellectual property. 

 

The functions of the Financial Administrator are to ensure the smooth day-to-day operations of the Office of Technology Transfer by:

 

  • Managing accounts payable and receivable.
  • Maintaining transaction files.
  • Filing necessary reports with federal funding agencies.
  • Providing administrative support to the Patent Manager and Director of Faculty Entrepreneurship who will coordinate the Office's needs.

 

The position will report to the Director, OTD, but will work under the direct supervision of the Director of Administration and Finance

 

RESPONSIBILITIES:

  • Managing A/P and A/R.
  • Process all legal bills relating to patent prosecution. Obtain necessary approvals, process for payment, and maintain database for tracking.
  • Prepare billings to licensees to obtain reimbursement of patent costs.
  • Deposit checks and record payments received under licenses (milestone payments, annual minimum royalties, royalty reports). Monitor receivables from licensees; Maintain cash logs for all receipts.
  • Prepare monthly accounting reports of:
  • Patent bills received.
  • Patent costs rebilled to Licensees.
  • Receivables due from Licensees.
  • Revenues from patent reimbursement and royalties.
  • Distribution of royalty payments.
  • Prepare cover letters to inventors to accompany checks.
  • Update fiscal year Income Forecast quarterly.
  • Enter Financial and non-financial terms in Sophia database.
  • Responsible for all event planning for events relating to Technology Development, including booking venues, catering, and monitoring events to ensure success.
  • Responsible for mail distribution, scanning documents to shared directories, copying, filing and organizing meetings.
  • Maintain inventory of office supplies. 


Required Skills
  • Bachelor's degree.
  • Multi-tasking orientation; detailed and well organized.
  • Strong teamwork skills.
  • Outstanding computer skills, including Microsoft Windows/Word, Excel, Outlook and PowerPoint; Database management (Sophia) will need to be learned.
  • Self-directed individual who is comfortable working in a professional atmosphere.
  • Analytical skills and some accounting knowledge.
  • Ability to interact effectively with senior professionals, including administrators and faculty, and with personnel responsible for royalty payments at licensees.
