The Port of Montana is seeking a Finance and Administration Manager to join our small team in Butte. This position is ideal for an accounting professional who enjoys meaningful work, variety in their day, and contributing to the success of a mission-focused organization that supports economic development in southwest Montana.

This role oversees the organization’s financial and accounting operations while also assisting with administrative functions that help keep the office running smoothly. Because we are a small team, the position combines professional accounting responsibilities with occasional operational and administrative support.

Position Summary:
The Finance and Administration Manager is responsible for maintaining the organization’s accounting systems and financial records in accordance with Generally Accepted Accounting Principles (GAAP) and Government Accounting Standards Board (GASB) requirements applicable to public and quasi-government organizations.

The position manages day-to-day accounting functions including payroll, invoicing, accounts payable, accounts receivable, financial reporting, and coordination with external auditors. The role also supports general administrative activities and assists staff and management in maintaining efficient office operations.

Key Responsibilities:

Financial Management:
  • Maintain accurate accounting records and financial controls.
  • Prepare monthly, quarterly, and annual financial reports.
  • Perform account reconciliations, journal entries, and month-end closing processes.
  • Maintain fixed asset records and depreciation schedules.
  • Assist with preparation of annual financial statements and audit documentation.

Accounting Operations:
  • Manage accounts payable and accounts receivable processes.
  • Process payroll and related tax filings and reports.
  • Ensure compliance with GASB standards and applicable financial regulations.
  • Maintain accounting systems and financial databases.

Office and Administrative Support:
  • Maintain organized financial, accounting and administrative records.
  • Assist management with financial research, reporting, and project information.
  • Provide occasional administrative support within the office.
  • Support a professional and collaborative work environment.

  • Generate and manage monthly billing and invoicing processes.
  • Reconcile and maintain accounts receivable records on a regular basis.
  • Ensure financial records are maintained in accordance with established accounting policies and procedures.
  • Prepare financial reports and assist with monthly, quarterly, and annual closing activities.
  • Maintain fixed asset records and depreciation schedules.
  • Assist with preparation of annual financial statements, schedules, and audit documentation.
  • Process payroll and ensure required tax filings and regulatory reports are completed.
  • Maintain accounting systems, financial databases, and permanent records including contracts and audits.
  • Identify, research and solve discrepancies and errors in accounting records.
  • Order office and warehouse supplies and maintain organized records and files.
  • Communicate professionally with coworkers, management, customers, and external partners.
  • Assist the General Manager with financial research and project-related information.
  • Perform other related duties as assigned to support organizational operations.

Qualifications:

Education and Experience:
  • Bachelor’s degree in Accounting, Finance, or related field or equivalent professional experience.
  • Approximately three years of progressively responsible accounting experience preferred.
  • Experience with QuickBooks and Microsoft Excel.

Knowledge and Skills:
  • Understanding of accrual accounting and financial reporting.
  • Familiarity with government or nonprofit accounting standards (GASB preferred).
  • Strong organizational skills and attention to detail.
  • Ability to prepare and analyze financial reports.
  • Ability to communicate effectively with management, auditors, and colleagues.
  • Ability to work effectively in a small-team environment with varied responsibilities.
