Our growing, family-owned insurance agency is seeking a highly organized and detail-oriented Insurance Processing Assistant to support our Commercial and HOA (Homeowners Association) insurance departments. This role is critical to maintaining exceptional service standards by assisting with policy processing, certificate management, renewals, documentation, and day-to-day administrative support.

Responsibilities
Primary Responsibilities
Renewal Management
- Manage commercial and HOA insurance renewals from start to finish.
- Request and collect renewal information needed for pre-renewal reviews.
- Coordinate with carriers to obtain renewal quotes and proposals.
- Send renewal documents and applications to insureds for completion and signature.
- Follow up proactively to ensure all required documents are returned on time.
- Invoice insureds for agency-billed renewals and monitor payments.
- Track outstanding renewals and ensure deadlines are met.
Policy Processing & Service
- Process Certificates of Insurance (COIs) and additional insured requests.
- Prepare HOA disclosure packets and insurance documentation packages.
- Maintain accurate policy records and electronic files.
- Assist with endorsements, policy changes, cancellations, reinstatements, and policy issuance.
Monitor carrier alerts and notifications regarding:
- Outstanding paperwork
- Premium payments
- Loss control requirements
- Underwriting requests
Follow up with insureds and carriers to ensure requirements are completed promptly.
Administrative & Team Support
- Work closely with agency managers to assist with daily workload and special projects.
- Help prioritize tasks and provide reminders to agents regarding outstanding items and deadlines.
- Maintain tracking logs, renewal reports, and follow-up schedules.
- Assist with incoming correspondence, document management, and carrier communications.
- Support the agency's commitment to outstanding customer service and operational excellence.
Requirements
Qualifications
- Insurance experience preferred but not required.
- Strong organizational and follow-up skills.
- Excellent written and verbal communication.
- Ability to manage multiple tasks and deadlines simultaneously.
- Proficiency with Microsoft Office, Outlook, and computer systems.
- Ability to work independently while supporting a collaborative team environment.
Licensing Requirement
- Must obtain a California Property & Casualty Insurance License within 90 days of employment.
- Agency will provide support and resources to assist with licensing.
