Overview:

The Fair & Events Coordinator (Coordinator SR) leads the Career Design Center’s execution of employer-facing events and recruitment experiences that connect USU students with meaningful career opportunities. This role is central to delivering high-quality, high-impact career fairs, networking events, and employer programs that support institutional employer engagement strategy.

 

Working closely with the Employer Engagement Specialist, this position ensures seamless coordination of events that strengthen employer relationships, elevate the student experience, and expand access to internships and employment pathways. The Coordinator serves as the operational lead for event logistics, employer experience, and student engagement related to recruitment activities.

 

This position is eligible for hybrid work within the state of Utah.

Responsibilities:

Event Planning & Execution – 45%

  • Lead the planning and execution of all employer-facing events, including career fairs, networking events, employer information sessions, and industry panels.
  • Develop and manage event timelines, staffing plans, vendor relationships, and logistics for both in-person and virtual events.
  • Prepare event budgets, track revenue, and generate post-event reports to inform planning and demonstrate return on investment.
  • Coordinate the full event communication cycle, including employer invitations, confirmation letters, student promotions, thank-you correspondence, and post-event follow-up.
  • Manage event registration processes, space allocation, and employer participation using systems such as Handshake.
  • Oversee staffing plans and provide training and direction for student staff and volunteers supporting events.
  • Develop and maintain event materials including signage, nametags, table tents, packets, and digital assets in coordination with marketing staff.

Employer Experience & Engagement Support – 20%

  • Support the Employer Engagement Specialist in cultivating and maintaining relationships with employer partners by serving as a responsive, professional point of contact for event-related inquiries and logistics.
  • Collaborate with the Employer Engagement Specialist to align event programming with broader employer engagement strategy and institutional partnership goals.
  • Support employer recruitment activities tied to events, including interview scheduling and on-campus engagement.
  • Support employer site visit coordination, industry roundtables, and networking events organized by the Employer Engagement Specialist as needed.

Marketing & Communications – 15%

  • Partner with marketing staff and student interns to develop and distribute targeted promotional materials, social media campaigns, and event communications to drive student and employer attendance.
  • Maintain and update event-related web content to ensure accuracy, accessibility, and alignment with the Career Design Center’s brand and mission.
  • Contribute to the overall marketing strategy for the Career Design Center’s events portfolio in coordination with the employer relations team.
  • Manage social media campaigns related to events to expand reach and increase student engagement with Career Design Center programming.

Data & Reporting – 10%

  • Track event attendance, employer participation, and student engagement metrics to assess event effectiveness and inform future planning.
  • Compile event data and contribute to reports prepared by the Executive Director for internal stakeholders and university leadership.
  • Maintain accurate records in Handshake and other platforms to support data integrity and impact reporting.

Team & Operational Support – 10%

  • Collaborate with Career Design Specialists, academic college liaisons, and student organizations to promote events and align programming with student career pathways.
  • Contribute to team initiatives, staff meetings, and departmental projects as directed by the Executive Director.
  • Perform other duties as assigned consistent with the mission and needs of the Career Design Center.

Reporting and Supervisory Responsibilities

  • The Fair & Events Coordinator reports to the Executive Director. This position may supervise student employees and event support staff.

Qualifications:

Minimum Qualifications:

  • Bachelor’s degree in communications, marketing, event management, higher education, business, or a related field with two years of experience in event planning, employer relations, career services, or a closely related field OR an equivalent combination of education and experience.
  • Demonstrated ability to manage complex logistics and multiple events simultaneously with strong attention to detail and follow-through.
  • Excellent written and verbal communication, project management, and organizational skills.
  • Ability to work collaboratively in a team-oriented environment and adapt to changing priorities in a fast-paced office.

Preferred Qualifications:

  • Experience in a college or university career services, student affairs, or employer relations setting.
  • Familiarity with marketing, social media, and design tools such as Adobe Creative Suite or Canva.
  • Experience supervising student staff or coordinating teams.

Advertised Salary: Minimum $45,000 commensurate with expeirence plus excellent benefits ADA:
