Leeds School of Business at CU Boulder invites applications for The Faculty Support Services Coordinator position! This role provides high-quality support to the faculty within the Leeds School of Business. The role has a wide range of responsibilities to ensure the daily operations run successfully. Part of these responsibilities include supporting faculty in navigating applicable university and Leeds processes and procedures related to procuring instructional supplies, scheduling rooms, and providing ADA student accommodations. Additionally, this position takes the lead related to coordinating all faculty division seminars for our seven faculty divisions. This position leads the student employee(s) to fulfill this goal. This role reports to the Senior Faculty Support Services Manager.

What Your Key Responsibilities Will Be

Faculty Support Services (FSS)

  • Responsible for day-to-day faculty support services queries and requests. This includes being the point of contact for any in-person requests and all requests submitted via the faculty support inbox. All requests receive an acknowledgment within 24-hours and actioned within an agreed timeline.
  • Partner with the Sr. Faculty Support Services Manager to review current FSS processes, suggest improvements, and implement agreed-upon changes.
  • Partner with the Sr. Faculty Support Services Manager to establish and create the needed FSS budget each year.
  • Responsible for continuous ordering of supplies and purchase equipment for both faculty and FSS staff as agreed with the Sr. Faculty Support Services Manager.
  • Ensure that joint faculty areas on the 4th floor have needed supplies at all times.
  • Advise faculty in navigating applicable university and Leeds processes and procedures related to procuring instructional supplies and scheduling rooms, assuring faculty understand and follow appropriate policies and guidelines.
  • Design and oversee an electronic tracking and storage system for Leeds School syllabi archives, called for as needed for our Business school re-accreditation. Connect with faculty each semester to gather syllabi.
  • Provide instructional and technical support to faculty as related to their courses, such as ordering requested textbooks for Leeds instructors, producing requested course materials (syllabi, copies and scanned, instructional supplies and exams), etc.

Division Seminars

  • Liaise with designated division faculty to create seminar schedule for the upcoming year.
  • Create itineraries and distribute to relevant division faculty to coordinate meetings with the various guest speakers.
  • Guarantee that all seminar rooms are booked and distribute calendar invites to promote each seminar.
  • Responsible for reserving hotel rooms and processing guest speaker reimbursements for division seminars.
  • In partnership with the Sr. Faculty Support Services Manager, document and maintain FSS unit guidelines related to division seminar process.

Faculty Event Support

  • In partnership with the Sr. Faculty Support Services Manager, liaise with the Leeds Events team to identify appropriate faculty events requiring additional support.
  • For approved faculty events, responsible for all event-related coordination, including hotel reservations, conference room booking, catering, purchasing event supplies, and creating registration process.
  • Run the list of faculty events supported throughout the year.
  • Support with Leeds Graduation activities, such as ordering student awards.
  • Support the Sr. Professional Assistant to the Faculty Division Chairs with faculty hiring candidate visits, as needed.

Student Accommodation Testing & Proctoring Coordination

  • Accountable for securing that students at Leeds have appropriate time to complete their exams. This involves collaborating closely with faculty members and the CU testing center to provide ADA Exam accommodations.
  • Hire and supervise proctors throughout the academic year.
  • Liaise with faculty and proctors to ensure that proctoring support is provided.
  • Handle monthly Common Make-up Exam scheduling during the Fall and Spring semesters, including room reservations, proctor scheduling, communication to faculty, and faculty sign-ups.
  • Responsible for proctoring exams as needed in the event student proctors are unavailable.

FSS Student Employee Supervision

  • Responsible for hiring, onboarding, and oversight of the FSS Student Employee.
  • Review and update student employee job description and ensure main areas of support are covered.
  • Conduct weekly check-ins with student employee to delegate appropriate tasks and provide mentorship. Follow-up on results to ensure quality of tasks completed.
  • Manage bi-weekly tracker to show student employee hours and guarantee that the hours align with allocated student employee budget.

Leeds School Faculty Course Questionnaire (FCQ) Coordinator

  • Oversee the administration of electronic FCQ's for all Leeds courses and commutate schedules and deadlines to Leeds faculty.
  • Partner with BCOR, Business Minor and MBA staff to manage early administration of FCQ's and distribute FCQ Qualtrics surveys as needed.
  • Coordinate FCQ result report filing with the Leeds Faculty Personnel Specialist for faculty reviews and evaluations.

Ad-hoc Support

  • Partner with the Sr. Faculty Support Services Manager and the Sr. Assistant to the Division Chairs to support commencement activities as needed.
  • Provide unit coverage and logistical support when the Sr. Assistant to the Division Chairs is on leave. Additionally, act as back-up person to support the Dean's Office as needed.
  • Any additional responsibilities determined to support faculty.
