Your Opportunity at SECURE:

As our Facility Administrator, you will play a key role in supporting the safe, efficient, and effective operation of the facility. You will be responsible for a variety of administrative functions, including customer service, accounts receivable, accounts payable, systems support, training coordination, and continuous improvement initiatives. Working closely with both customers and employees, you will help ensure smooth day-to-day operations while demonstrating and promoting SECURE's values.

 

This role is based out of Stanley, ND.

The Team:

You’ll be part of a collaborative and supportive team that values open communication, shared accountability, and strong relationships across operations. The Stanley facility works closely together to ensure safe, efficient, and high-quality service delivery for our customers and partners.

Work Environment:

This role is a full-time position scheduled Monday to Friday with a 40-hour work week, with flexibility required to support operational priorities and deadlines as needed.

A Day in The Life:
  • Responsible for efficient day-to-day administrative support to the operational team
  • Maintain appropriate files, documents, reports, and accessible filing systems
  • Meet month-end deadlines and ensure accurate reporting to finance
  • Share pertinent information and correspondence with the operations team
  • Handle internal and external customer relations and inquiries in a prompt, accurate, and professional manner
  • Responsible for daily ticket entry and resolution of tickets, including customer, trucking company, generator, contact, and location setup verification
  • Perform volumetric balancing by verifying locked OVB transactions, monitoring inventory levels, and reviewing transfer entries for accuracy
  • Assisting the marketers, as required
  • Responsible for managing the Load Confirmation, field ticket entry, approval tracking, and customer invoicing process
  • Track expenses for Accounts Payable and assist with Payroll/Time Entry
  • Support onboarding of new employees as required
  • Maintain office supply inventory, order supplies as needed, and ensure the workspace remains organized
Skills, Experience & Qualifications:
  • Minimum 1-year experience in an administrative role
  • Administration or Accounting Certificate/Diploma would be considered an asset
  • Knowledge of Microsoft Office applications such as Word, Excel, Adobe, and Access
  • Strong time management and organizational skills
  • Ability to work effectively under pressure, meet demanding deadlines, and change priorities
  • Strong teamwork and collaboration skills
  • Excellent communication, interpersonal and customer service skills
