Kalamazoo Valley is seeking a Facilities & Materials Assistant to provide support to the college's Facilities Services, Materials Handling and Event Services departments. The position will also support the mission of the institution, abide by the policies, procedures, rules and regulations of the College and promote positive student and customer relations.

Essential Job Functions

  • Dispatches internal service calls, assists external customers with facilities and event related requests and assists with the ordering and distribution of office supplies for facilities staff on all campuses.
  • Maintains the Facilities Services work order system and provides support for internal system training; processes and distributes work orders to Facilities Services managers through tracking, logging and closing completed work orders.
  • Provides support and coordinates with Facilities Services regarding the creation, editing and processing of departmental documents and email correspondence.
  • Assists with receiving and inspecting daily shipments, inputs purchase orders into Banner, works with Purchasing on damaged, missing and lost items and tracks items to their final destination.
  • Prepares monthly and quarterly work order chargeback reports, monthly shipping reports and provides primary Facilities Services support college-wide.
  • Performs internal chargebacks on Central Stores inventory, monitors Central Stores inventory balances, assists with reordering low inventory and assists with preparing for end of the year inventory audits with Financial Services.
  • Distributes and summarizes monthly shipping reports and allocates all internal postal chargebacks for individual Banner indexes to Financial Services.
  • Works with internal customers on the best way to ship outgoing items, including preparing packaging and coordinating pickup and delivery.
  • Performs other related duties as assigned.

  • Skill in the use of computers and software applications related to the essential functions of the job.

  • Ability to identify and resolve problems in a timely manner.
  • Ability to work independently with minimal supervision.
  • Ability to establish and maintain effective working relationships with other personnel and the public.

Minimum Qualifications:

High school diploma or equivalent and one (1) year of related experience, or equivalent combination of training, education and experience.

Preferred Qualifications and Experience: Physical Demands:

The work is sedentary work which requires exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects, including the human body. Requires mental acuity including the ability to make rational decisions through sound logic and deductive processes, the ability to express ideas by means of the spoken word and have close visual acuity.

Work is performed in a a relatively safe and secure work environment.
