Position Summary

The Manager, Facilities provides oversight of daily operations and administration within the Facilities department to include policies, procedures, expense reports, invoices, contracts, correspondence, reports, presentations, work orders, budget coordination, office equipment, training materials, supplies, and inventory control.  The Senior Manager, Facilities must have critical thinking, problem solving, software installation/deployments, communication, and analytical abilities.

 

Essential Job Functions

  • Oversee work order program edits, programming, dashboards, and reports.
  • Maintain calendar events via e-mail, set appointments, assemble meeting materials, and interact with memos with other departments for Facilities Management.
  • Create and maintain department policies and procedures.
  • Process expense reports and maintain expenses to budget and CPA.
  • Recruitment, onboarding, orientation and training of staff positions.
  • Oversee and manage copier contracts by scheduling all preventative maintenance requirements for copier equipment, processing all copier work order service calls, reports, and maintaining all copier/fax machine inventories.
  • Prepare training materials and schedule all department training and meetings.
  • Process checks requests, purchase requisitions, and invoices for payment.
  • Handle department correspondence, reports, presentations, meeting notes, and special projects.
  • Review financial statements, data, and invoices related to facilities, supplies, and systems to ensure accuracy and cost-efficiency.
  • Implement improved processes, policies, and procedures in collaboration with management and other support teams to achieve organizational objectives.
  • Analyze vendor management contracts/agreements with management to ensure favorable pricing on all services, products, and inventory.
  • Review all facilities and service contracts to ensure optimal efficiency and cost to company procedures as point of contact for vendor management process.
  • Communicate regularly with service providers, third party vendors, and building management.
  • Assist in maintaining building safety program.
  • Assist with management of cafeteria operations.
  • Perform other duties as assigned.

 

Position Requirements

  • 3+ years in staff supervision management.
  • Bachelor’s degree in business administration or related field.
  • Must be available to address building issues, concerns, and software deployments during non-traditional work hours, weekends, and holidays based on demands of the department.  Work on call rotation weeks for 24/7 support for after-hour emergencies. 
  • Must have ability to maintain a strict level of confidentiality.
  • Excellent time management skills and ability to multi-task and prioritize work.
  • Exceptional attention to detail and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Analytical abilities, critical thinking, and aptitude in problem-solving.
  • Advanced experience in Microsoft Office with typing speed of 50 wpm or higher.
  •  Position requires driving for work purposes and therefore subject to the Company’s Driver Policy/DMV report.

 

Preferred

  • Advanced computer skills, with an aptitude to learn new systems and procedures.
  • Excellent written and oral communication skills.
  • 5+ years in office administration.
