POSITION SUMMARY:

The primary purpose of this position is to provide facility-related support to the Credit Union. This is accomplished by maintaining and administering credit union systems and processes; servicing branch and department operational needs including, but not limited to maintenance, supply chain and vendor management.

 

ESSENTIAL FUNCTIONS AND SUPPORTING DUTIES:

  • Provides operational support to credit union employees by serving as a central contact for branch and department needs, including facilities maintenance requests, janitorial needs, courier services, business supply orders, equipment needs, and furniture maintenance.
  • Serves as liaison between the credit union and vendors for facility management by communicating regularly with contracted vendors, tracking projects through completion, resolving routine issues, and escalating project needs to the Vice President Facilities and Logistics when appropriate.
  • Serves as a team supervisor for daily operating functions, including leading and directing work, communicating job expectations, interpreting policies, resolving procedural issues, maintaining records and files, motivating employees, participating in interviewing and hiring, and assisting with departmental scheduling and reporting.
  • Assists the Vice President Facilities and Logistics with invoice review and approval by tracking and approving facility-related invoices.
  • Coordinates and supports facilities and logistics projects by assisting with project planning, timeline tracking, vendor coordination, communication with stakeholders, documentation, and follow-up to ensure projects are completed accurately and on schedule.

 

QUALIFICATIONS AND REQUIREMENTS:

Required Education: An Associate’s degree from an accredited college or university in Business or other field relevant to operations management.

Required Experience: 3 – 5 years’ experience in operations or relevant financial industry experience.

Required Knowledge:

  • Thorough knowledge of facilities and logistics operations, including facility maintenance coordination, space and equipment needs, branch and department support, courier services, and supply ordering processes.
  • Working knowledge of project management practices related to facilities and logistics initiatives, including project planning, timeline tracking, stakeholder communication, documentation, and follow-up through completion.
  • Knowledge of vendor management practices, including vendor communication, service coordination, issue resolution, invoice review, contract awareness, and escalation of service or performance concerns.
  • Knowledge of supply chain and inventory coordination practices, including business supply ordering, vendor fulfillment, delivery tracking, equipment availability, and continuity of essential operational resources.
  • Understanding of business continuity planning principles as they relate to emergency response coordination, operational recovery, and continuity of credit union services.
  • Knowledge of Credit Union policies, procedures, operating systems, products, services, vision, and long-term goals as they relate to facilities, logistics, and operational support.

 

Skills and Abilities:

  • Ability to maintain current knowledge of the credit union’s changes, processes, and procedures.
  • Ability to motivate, teach, and lead staff members toward meeting goals and producing high levels of quality and successful service.
