Responsibilities

The Facility Coordinator supports the day-to-day operations of assigned facilities, ensuring smooth and efficient services and operations. This includes assisting with facility maintenance, supporting the management of resources, and ensuring that all activities align with customer needs and company objectives. The role involves helping to maintain budgets, monitor vendor performance, and manage client relations to ensure client satisfaction and compliance with contract terms. The Facility Coordinator works closely with the Facility Manager and other team members to maintain high operational standards and contribute to a productive and safe environment. 

Responsible for supporting the maintenance and operations teams through utilization of the CMMS platform and coordinating facility-related services including preventive maintenance (PM) oversight and maintaining vendor relationships. Oversees the execution of maintenance activities, accurate recordkeeping and optimization of facility operations to support client’s objectives, key performance indicators (KPIs), and service level agreements (SLAs). 

The Facility Coordinator assists in the daily operations and service delivery of assigned facilities, supporting tasks that contribute to a well-maintained, safe, and efficient working environment. 

  • Assist with the maintenance and upkeep of the facility, ensuring it meets safety and operational standards. 
  • Coordinate and monitor the execution of facility maintenance schedules and preventive maintenance programs. 
  • Review and prioritize open work orders for follow-up and attention based on age, status, or other factors; perform appropriate follow-up until work order is closed.  
  • Work with Managers or Trade Specialists on resolution of problems.  
  • Work with vendors and contractors to schedule services and track performance, ensuring quality and compliance with service agreements. 
  • Help maintain accurate records of maintenance and repair activities, ensuring compliance with company standards. 
  • Assist in the preparation and management of facility budgets, tracking expenses and recommending cost-saving opportunities. 
  • Provide administrative support, including processing work orders, maintaining inventory, and managing supplies. 
  • Respond to facility-related inquiries and service requests from employees and clients in a timely and professional manner. 
  • Support the Facility Manager in managing facility-related projects, ensuring all tasks are completed on time and within budget. 
  • Ensure compliance with safety regulations and company policies in all operations. 
  • Assist in preparing and reviewing facility reports, tracking performance metrics, and ensuring corrective actions are taken as needed. 
  • Provide support for employee training, ensuring the team adheres to safety and operational standards. 
  • Perform general office duties, including scheduling meetings, handling correspondence, and preparing reports. 
  • Assist in maintaining facility systems, including electrical, mechanical, and HVAC systems, under the guidance of the Facility Manager. 

Qualifications

EDUCATION AND EXPERIENCE 

  • Associate’s degree (A.A. or A.S.) in Facilities Management, Business Administration, or a related field, or equivalent work experience. 
  • 2+ years of experience in facility management, maintenance coordination, or a similar operational support role. 
  • Strong organizational skills and attention to detail. 
  • Ability to prioritize tasks and manage time effectively. 
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook). 
  • Experience working with Computerized Maintenance Management Systems (CMMS) is a plus. 
  • Ability to communicate effectively with team members, clients, and vendors. 
  • Basic understanding of building systems, including HVAC, electrical, and mechanical systems. 

CERTIFICATIONS AND LICENSES 

  • Facility Management Certification (e.g., FMP, CFM) is a plus. 
  • Valid driver’s license and reliable transportation. 

KNOWLEDGE, SKILLS, AND ABILITIES 

  • Strong interpersonal skills and the ability to collaborate with others effectively. 
  • Good written and verbal communication skills, with the ability to draft clear and concise reports. 
  • Basic knowledge of facility management processes and safety procedures. 
  • Ability to manage multiple tasks and adapt to changing priorities. 
  • Ability to work well under pressure and in a fast-paced environment. 
  • Strong customer service skills and a focus on client satisfaction.
