Facilities Coordinator

Location: New York, NY

Onsite Flexibility: Onsite

Contract Details

  • Position Type: Contract
  • Contract Duration: 2 months (with potential for extension and conversion to permanent)
  • Pay Rate: $19.00 $20.00 / Hour (USD)
  • Shift / Schedule: Monday Friday, 7:00 AM 4:00 PM EST; potential weekend coverage dependent on event needs, with flex time off during that week; some flexible hours required
  • Work Authorization: Applicants must be authorized to work for ANY employer in the U.S. We are unable to sponsor or take over sponsorship of an employment Visa at this time.

Job Summary

As a Facilities Coordinator, you will work with clients, vendors, and contractors to ensure that facility tasks and work orders are complete. This role sits within a team comprised of office operations facilities, workplace experience, and events where facilities is a key component in ensuring everything runs efficiently for office employees. The client is currently undergoing a renovation project involving carpet, patch/paint, and furniture moves, and has high expectations of facilities delivery and ensuring things run smoothly.

Key Responsibilities

  • Coordinate with vendors and manage vendor relationships
  • Grant access to vendors, contractors, and relevant parties
  • Manage the work order ticketing system
  • Maintain and oversee preventative maintenance schedules
  • Update stakeholders on project progress
  • Communicate directly with the client
  • Perform mailroom duties, including the ability to sit in a mailroom environment as needed
  • Perform hands-on facilities tasks such as changing lightbulbs and completing facilities paperwork
  • Perform data entry related to facilities operations
  • Move boxes and assist with physical aspects of facilities work
  • Support ongoing renovation project (carpet, patch/paint, and furniture moves)

Required Skills

  • Tactical thinking and problem-solving
  • Vendor relationship management
  • Polished communication, speech, and presentation skills
  • Proficiency with a work order ticketing system
  • Proficiency with Microsoft Office Suite
  • Ability to fill out facilities paperwork and perform data entry
  • Ability to move boxes and perform physical facilities tasks
  • Ability to communicate directly with clients
  • Flexibility to work some weekend hours as needed

Preferred Skills

  • Understanding of office operations and the impacts of facilities work on occupied spaces

Required Experience

  • 2 3 years of facilities experience
  • Must have actually worked in a facilities role (hands-on experience required)

Work Environment / Physical Requirements

  • 100% onsite position
  • Must be comfortable working in a mailroom environment for extended periods
  • Must be able to move boxes and perform physical tasks
  • Potential weekend coverage dependent on event needs (with compensatory flex time during that week)
  • Some flexible hours required
