About the Role:

As a CBRE Facilities & Workplace Coordinator, you'll play a pivotal role in creating a seamless and welcoming environment for employees and guests while ensuring the smooth operation of building facilities. This job is a part of the Facilities Management functional area which focuses on combining customer service excellence with hands-on facilities coordination to deliver an exceptional workplace experience.

What You'll Do

  • Serve as the first point of contact for all those entering the workplace, greeting employees and visitors with a friendly and welcoming demeanor.
  • Manage and track facilities-related global work orders liaising with vendors, contractors, and service providers to ensure timely completion.
  • Coordinate workplace services including mail, office supply inventory, and onboarding support.
  • Acknowledge inquiries or complaints from employees, guests, and co-workers and provide solutions in a professional, customer service-driven manner.
  • Support and coordinate on-site events in Los Angeles office, including event calendar, room setup and teardown, vendor coordination, logistics, and supply delivery.
  • Follow property-specific security and emergency procedures and notify appropriate parties to ensure the safety of individuals in the building.
  • Communicate detailed or complex information clearly within the team and collaborate closely with the Workplace Experience Managers and Clients.
  • Point of contact for escalated communications between landlord, tenants, and service providers by ensuring all procedures, policies, and reporting formats are understood and implemented.
  • Review data from work order reports and create and present performance and progress status reports to management. Make suggestions on how to improve efficiency.
  • Keep track of regular and ad-hoc facility expenses; maintain records of costs incurred by workplace team activities and review invoices as needed.
  • Develop and maintain vendor partnerships with the intention of cost-saving efforts. Assist with negotiations for contract services. Confirm that all vendors have current proof of insurance and contractual documentation.
  • Monitor building operations, including waste disposal, recycling, and janitorial services, ensuring compliance with policies and standards.
  • Maintain accurate asset data, schedule preventive maintenance, filing and tracking work orders, and generating and maintaining performance reports.
  • Perform work that has a direct impact through clearly defined duties and established procedures. Follow documented workflows and use existing processes to solve straightforward problems.
  • Resolve complex problems and identify appropriate approaches to existing solutions to accomplish team objectives.
  • Have a direct impact on the team objectives as well as the objectives of related teams.
  • Lead by example and model behaviors that are consistent with CBRE RISE values.
  • Working onsite in the client's Los Angeles office 5 days per week, typical hours 8:00am - 5:00pm. International and Domestic Travel required - 5%.

What You'll Need

  • High School Diploma or equivalent; additional coursework or certification in facilities management or business administration preferred.
  • 2+ years of experience in facilities coordination, workplace services, or a related role within tech or startup environments.
  • Experience managing CMMS platforms for preventive maintenance and asset tracking.
  • Expert organizational, communication and planning skills with the ability to manage multiple priorities independently.
  • Leadership qualities, including initiative, problem-solving, and the ability to work with minimal supervision.
  • Excellent communication skills for interacting with employees, guests, and vendors.
  • Expert knowledge of Microsoft Office and Google Suite; familiarity with budgeting tools or CAFM/CMMS systems is a plus. Basic math and financial skills for budgeting, cost analysis, and reporting.

CBRE carefully considers multiple factors to determine compensation, including a candidate's education, training, and experience. The minimum salary for the Facilities Coordinator position is $60,000 annually [or $28.85 per hour] and the maximum salary for the Facilities Coordinator position is $62,400 annually [or $30.00 per hour]. The compensation that is offered to a successful candidate will depend on the candidate's skills, qualifications, and experience.
