Summary



The ideal candidate will operate at multiple altitudes—managing executive logistics (calendar, travel, expenses) while also driving key initiatives, supporting decision-making, and aligning cross-functional efforts. This individual will play a critical role in maximizing the effectiveness of the Chief Accounting Officer and the broader organization. This is a highly visible position requiring strong business acumen, exceptional judgment, and the ability to balance competing priorities in a fast-paced environment. This role is eligible to work a hybrid schedule in office based out of our Headquarters in Dallas, TX.


Essential Duties & Responsibilities



Executive Support & Operational Excellence


+ Manage complex and dynamic calendar for the CAO, including prioritization, scheduling, and alignment to strategic priorities

+ Coordinate all travel arrangements (domestic and international), including detailed itineraries and logistics

+ Prepare and submit expense reports in a timely and accurate manner

+ Serve as primary point of contact for executive administrative needs, ensuring smooth daily operations

+ Organize and prepare materials for meetings, including agendas, briefings, presentations, and follow-ups

+ Manage meeting cadence (staff meetings, leadership forums, offsites), ensuring preparation and execution excellence

+ Create POs and submit invoices for payment


Chief of Staff & Strategic Support


+ Partner closely with the CAO to drive strategic initiatives, track progress, and ensure execution against key priorities

+ Coordinate cross-functional projects and initiatives across business units and corporate functions

+ Identify opportunities to improve organizational effectiveness, operational processes, and communication flow

+ Support development of presentations, reports, and executive communications for internal and external stakeholders

+ Help translate strategy into actionable plans with clear milestones and accountability


Leadership Coordination & Communication


+ Act as a liaison between the CAO and senior leaders, ensuring alignment and follow-through on key initiatives

+ Represent the CAO in meetings, as appropriate, capturing key insights and driving action on next steps

+ Facilitate communication across teams to ensure clarity, consistency, and prioritization

+ Drive preparation for leadership meetings, including agenda-setting and content coordination


Special Projects & Continuous Improvement


+ Lead and support special projects aligned to the CAO’s priorities

+ Analyze business and operational data to support decision-making and recommendations

+ Identify and implement process improvements to enhance efficiency and effectiveness

+ Support organizational initiatives such as transformation efforts, operating model changes, or integration activities


Education & Experience



+ Bachelor’s degree in Business Administration, Management, or related field

+ 5–8+ years of experience in executive support, operations, business management, consulting, or Chief of Staff-type roles

+ Experience supporting senior executives (C-suite or equivalent) strongly preferred


Travel Requirements



Travel up to 25%
