Experience: 2 to 3+ years of experience working as an executive secretary, administrative assistant, or in a related support role.
Education: A high school diploma paired with specialized administrative certification, or a degree in business administration.
Technical Skills: Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint), office management software, and database tracking systems.
Soft Skills: Outstanding written communication, active problem-solving, and superior multitasking capabilities
Calendar Management: Plan and schedule appointments, board meetings, and conferences, actively resolving scheduling conflicts.
Gatekeeping & Communication: Answer phone calls, screen incoming correspondence, and direct inquiries to the proper internal staff or external parties.
Document & Report Prep: Draft, proofread, and edit corporate documents, memos, and presentations.
Travel & Logistics: Coordinate detailed travel arrangements, flight itineraries, and hotel accommodations.
Meeting Support: Attend leadership meetings, transcribe accurate meeting minutes, and track post-meeting action items.
Information & Inventory: Maintain physical and digital filing systems, handle sensitive personnel data confidentially, and track office supplies.
