Summary

The Center for American Progress Action Fund is seeking an Executive Coordinator, reporting to the Chief of Staff and directly supporting the President of the Center for American Progress Action Fund. The Executive Coordinator will provide high-level administrative, scheduling, logistical, and operational support to the President, while also helping coordinate cross-cutting administrative needs across the broader Advocacy department.

This position is central to keeping a fast-moving political, advocacy, and fundraising operation organized. The Executive Coordinator will manage the President's calendar, travel, meeting preparation, follow-up systems, expenses, and administrative workflows. The position will support administrative functions and coordination across the broader Advocacy department and play a key role in supporting fundraising and donor stewardship efforts. The Executive Coordinator will support donor scheduling, meeting preparation, Salesforce entry, follow-up tracking, event logistics, and coordination with front-line fundraising staff. The ideal candidate is highly organized, discreet, proactive, responsive, and comfortable operating in a fast-paced environment with competing priorities.

Responsibilities:

  • Serve as executive assistant to the President of CAP Action, managing calendar, travel, meeting preparation, expenses, follow-up, and daily administrative workflow.
  • Track priorities, deadlines, internal requests, external commitments, and follow-up items to help ensure the President and Advocacy department stay organized and on schedule.
  • Prepare and maintain notes, agendas, briefing materials, calendars, task lists, contact lists, and other organizational systems as needed.
  • Support cross-department coordination across the Advocacy, policy, Communications, Executive, Legal, Finance, Development, and other teams and departments to help ensure that goals, timelines, and deliverables stay on track.
  • Assist with administrative coordination across the broader Advocacy department, including meeting scheduling, materials preparation, team logistics, internal systems, and shared tracking documents.
  • Prepare the President for donor meetings by preparing background materials, coordinating briefing documents, tracking follow-up, and ensuring relevant information is entered into Salesforce.
  • Maintain and update donor records, including meetings, outreach, and follow-up, in Salesforce and shared calendars.
  • Provide logistical support for CAP Action-hosted events, briefings, convenings, and other external engagements, including guest lists, registration support, materials preparation, and internal coordination.
  • Handle confidential and nonroutine information with discretion and sound judgment.
  • Communicate with internal and external contacts in a professional, timely, and responsive manner.
  • Help ensure administrative systems are clear, current, and useful across the Advocacy department.
  • Perform other duties as assigned.

Requirements and qualifications:

  • Bachelor's degree or equivalent experience is required.
  • At least two years of professional experience.
  • Prior experience in political, organizing, advocacy, communications, or other related organizations is preferred.
  • Prior experience scheduling for a senior executive, principal, or fast-moving team is strongly preferred.
  • Demonstrated entrepreneurial ability to develop alliances and coordinate shared interests of all parties.
  • Excellent organizational skills and attention to detail.
  • Excellent problem-solving skills designed to meet the challenges of the organization.
  • Excellent communication, interpersonal, and customer service skills, with an emphasis on timeliness.
  • Proficiency with Google Suite, Microsoft Word, Outlook, and Excel.
  • Ability to use data and CRM systems to support fundraising strategies and priorities, measure outcomes, and drive superior performance. Prior experience with Salesforce is a plus.
  • Flexibility and eagerness to learn.
  • Ability to follow instructions and ask clarifying questions.
  • Ability to take initiative, work independently, and work as a member of a team.
  • Ability to prioritize, multitask, and meet deadlines in a fast-paced environment.
