Major Purpose:
The Executive Assistant provides comprehensive and confidential administrative support to senior executives. Support of leadership involves highly advanced technical and administrative work in which incumbents are expert in their assigned roles and work under limited supervision on business-sensitive and confidential materials. This position requires the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Assistant must be able to work under pressure to handle a wide variety of activities and confidential matters with discretion.
Essential Job Functions:
Completes a broad variety of administrative tasks for senior leadership, including:
Managing calendar of appointments; completing and tracking expense reports; composing and preparing confidential correspondence.
Arranging complex and detailed travel plans, itineraries, and agendas; compiling and preparing materials for meetings.
Communicating directly, and on behalf of leadership, with key stakeholders and internal/external parties on matters related to departmental activities.
Provides leadership to build relationships crucial to the success of the department and manages a variety of special projects for senior executives, some of which may have organizational impact.
Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the ability of leadership to effectively manage the department.
Provides a bridge for smooth communication between leadership and internal departments; demonstrating confidentiality, credibility, trust, and support with senior management staff. Works closely and effectively with leadership to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a "barometer, " with a sense for the issues taking place in the environment and keeping leadership updated.
Researches, prioritizes, and follows up on incoming issues and concerns addressed to leadership, including those of a sensitive or confidential nature. Determines appropriate course of action or response.
Other Responsibilities:
Provides other related administrative support as assigned.
Maintains confidentiality and handles sensitive information with a high level of discretion.
Coordinates departmental technical and administrative needs with other offices as necessary.
Education & Experience Requirements:
Bachelor's degree required.
Advanced experience utilizing Microsoft Office applications such as Word, Excel, and PowerPoint.
Significant experience utilizing travel and expense systems such as Concur (or equivalent).
Experience providing administrative or secretarial support at a senior level involving the high-level exercise of judgment.
Working Conditions:
Standard office working conditions.
In-office presence required.
Some overtime may be required.
