Executive Assistant to the Vice President for Human Resources

SALARY: $80,221.98 - $82,485.29

DESCRIPTION:

Edmonds College has an exciting career opportunity for a dedicated Executive Assistant with a thirst for excellence and a customer service mindset. This critical role advances the mission of the college, Teaching | Learning | Community, by providing high level support to the Vice President for HR on a variety of sensitive and complex administrative, operational and budgetary functions. In this role, you will create solutions, and offer recommendations to the Vice President for HR to drive the strategic direction of Edmonds College. This role is highly visible and requires a high level of integrity and discretion in handling sensitive information and professionalism in dealing with internal and external customers. The Vice President for HR oversees recruitment, compensation, benefits, employee and labor relations, employee development, public records, ethics, code revising, safety, security, emergency preparedness, and Title IX.

This is an exempt position reporting to the VP for Human Resources.

RESPONSIBILITIES INCLUDE, BUT ARE NOT LIMITED TO:

  • Providing strategic, confidential administrative support to the Vice President for HR. Administrative activities include complex calendar management, composition and editing of correspondence, and administrative support.
  • Managing the flow of information and communications between the Vice President for HR and the wider campus community and acting as a representative of the Executive Director of HR.
  • Initiating and managing projects. Projects may include multiple departments outside of HR or within the department.
  • Fostering a positive, innovative and inclusive environment.
  • Coordinating meetings, orientations and trainings with on and off campus constituents.
  • Labor Relations support. Coordinating labor relations meetings, including preparation of meeting materials and recording of minutes.
  • Managing the office¿s daily and long term administrative and operational functions.
  • Serving as a key research resource and helping execute HR goals and objectives.
  • Summarizing and tracking budgets and financial information. Prepare budget projections and funding requests. Process and track purchasing, requisitions, and invoices for HR. Prepare and manage contracts and request for proposal processes.
  • Maintaining knowledge on current HR and public records developments.
  • Managing public records requests.
  • Managing the College¿s code revising process.
  • Research and recommend solutions to developing policies and procedures and operational issues.
  • Maintaining HR websites and forms.
  • Gathering and compiling information for presentations.
  • Other duties as assigned.

REQUIRED QUALIFICATIONS:

  • Bachelor¿s degree or higher.
  • Experience providing executive-level administrative support in a complex organization.
  • High degree of professional integrity and discretion.
  • Impeccable attention to details, strong organizational skills, and ability to multitask.
  • Experience managing projects and events

DESIRED QUALIFICATIONS:

  • Proven ability to successfully manage relationships with customers and stakeholders.
  • Supervisory experience.
  • Skill in communicating, both verbally and in writing, with precision, directness and tact.
  • Proven ability to resolve complex administrative problems in the moment while maintaining professionalism and composure.
  • Ability to manage constantly shifting priorities in a fast-paced work environment.
  • Experience working records management or similar legal environment.

PHYSICAL WORK ENVIRONMENT:

Work is typically performed in an office setting, and onsite/in-person. The ability to sit at a desk/computer station, bend, stoop, walk and generally move around the office to consult with others, work within a busy environment and remain focused on tasks. The ability to speak clearly on the telephone, use a computer is required. Recurring early/late hours (weekend/early morning/evening meetings). Some tasks require lifting and moving of objects up to 30lbs. This position requires the ability to drive and use of a personal vehicle. The ability to make sound judgments is essential.

WORK SCHEDULE:

Monday through Friday, 8:00 a.m. - 5:00 p.m., including some evenings and weekends.

COMPENSATION:

Salary is $80,221.98 - $82,485.29 and is based on the Edmonds College administrative/exempt salary schedule, plus a full state benefits package, which includes tuition waivers for college classes, medical, dental, retirement options and more. Vacation and leave package includes 12 sick days per year, 11 scheduled holidays, 1 personal holiday, and 24 vacation leave days per year.

FLSA Status:

The position is an exempt position under the Fair Labor Standards Act requirements.
