The Executive Assistant to the Superintendent provides secretarial and administrative support to the Superintendent of Schools and Board of Education. Maintains official District records and executes administrative policies determined by, or in conjunction with other officials.

EXAMPLES OF DUTIES AND RESPONSIBILITIES:

  • Serves as receptionist to the Office of the Superintendent of Schools. Screens incoming telephone calls and individuals wishing to see the Superintendent. Handles requests that may not require direct involvement of the Superintendent.
  • Answers questions and responds to requests for information from parents, residents, Board of Education members and staff regarding District matters.
  • Processes Public Records Requests with direction from the Superintendent.
  • Facilitates the School Board Election process with oversight by the School Board Clerk.
  • Facilitates and Coordinates District Office Staff Meetings.
  • Transcribes and types correspondence, meeting notices, reports, and speeches.
  • Composes and types routine correspondence.
  • Schedules appointments and meetings and makes travel arrangements.
  • Develops and monitors the budget for the Office of the Superintendent of Schools and the Board of Education. Submits purchase orders and orders supplies as necessary.
  • Establishes and maintains physical and electronic filing systems.
  • Compiles, types and distributes agenda and informational, electronic packets for Board of Education Meetings and assists with Board of Education Committee Meetings as needed.
  • Prepares for and attends all Board of Education meetings and may attend all Community, Legislative or other Committee Meetings to compose, type and distribute minutes of the meeting.
  • Compiles, types and distributes calendar of Board of Education activities and prepares for and participates in orientation for new Board members.
  • Collects and researches data as requested by the Superintendent, Board of Education, staff and/or general public.
  • Assists with research, data collection and preparation of special reports.
  • Receives, sorts and distributes incoming office mail and communicates information to appropriate staff.
  • Keeps abreast of all applicable federal, state, and DPI requirements and laws.
