Executive Assistant to the CFO

Department: Corporate Location: Bismarck, ND Salary Range: $62,000 - $100,000 DOE

We are recruiting for an Executive Assistant to provide dedicated, high-impact support primarily for our Chief Financial Officer (CFO) along with other members of the Executive team. Approximately 70% of this role will be focused on supporting the CFO, with the remaining 30% providing administrative support to the CRBO, CBO, and CCO. This role serves as a trusted operational partner, helping manage complex administrative, reporting, and coordination responsibilities so the Executives can focus on strategic financial leadership. The ideal candidate brings strong judgment, organization, and the ability to anticipate needs in a fast-paced executive environment.

Key Responsibilities Serve as an extension of the Executive by proactively managing administrative responsibilities, anticipating needs, and protecting executive time. Manage and prioritize a complex calendar, including coordination of recurring leadership meetings, one-on-ones, and time-sensitive engagements. Coordinate travel and logistics, including flights, accommodations, itineraries, and meeting preparation, with heightened support during periods of increased travel. Support board and senior leadership activities by coordinating materials, compiling reports from multiple contributors, and preparing finalized documents for review. Assist with reporting logistics and deadlines, ensuring materials are accurate, complete, and delivered on time. Prepare briefing materials, background information, and meeting documentation to support executive decision-making. Serve as a liaison between executive leadership, direct reports, and cross-functional partners to ensure clear communication and follow-through. Support corporate committees, meetings, and governance-related activities, including coordination, documentation, and minute-taking as needed. Produce, maintain, and organize reports, documents, and tracking tools to support visibility, accountability, and operational efficiency. Take on special projects and initiatives aligned with strategic priorities, exercising discretion and sound judgment. Perform additional administrative and operational tasks as needed to support the effectiveness of the Executive and broader leadership team.

Qualifications Bachelor's degree preferred, or an equivalent combination of education and executive-level administrative experience. 5+ years of executive assistant or senior administrative experience, supporting executive or senior leadership. Demonstrated ability to manage complex priorities with strong organizational and time-management skills. Proven professionalism with a high degree of discretion, confidentiality, and sound judgment. Strong written and verbal communication skills, including experience preparing executive-level correspondence, reports, and board materials. Ability to anticipate needs, work independently, make decisions when appropriate, and operate effectively in a highly visible, fast-paced environment. Proficiency with Microsoft Office tools, particularly Outlook, Word, Excel, and PowerPoint.
